Position Summary
The Maintenance Administrator provides critical administrative support to the maintenance department, helping to ensure the timely coordination of work orders, parts tracking, reporting, and overall workflow efficiency. This role works closely with maintenance supervisors, mechanics, and inventory teams to keep records accurate, schedules on track, and communications clear.
- Enter and maintain accurate work order data in the Computerized Maintenance Management System (CMMS).
- Track maintenance activity, parts usage, labor hours, and backlog to support reporting and analysis.
- Assist with scheduling preventive maintenance and coordinating with vendors for service support.
- Prepare reports, spreadsheets, and documentation for leadership and maintenance planning.
- Support communication between maintenance, operations, purchasing, and inventory teams.
- Maintain digital and physical files for maintenance history, inspections, permits, and equipment documentation.
- Help ensure compliance with MSHA documentation and reporting requirements.
- Provide general administrative support such as filing, scanning, scheduling meetings, and processing invoices.
- High School Diploma or GED required; associate degree or relevant certifications preferred.
- 2+ years of administrative experience, preferably in an industrial or maintenance environment.- Proficiency with Microsoft Office (Excel, Word, Outlook) and CMMS software (e.g., SAP, eMaint, MP2).
- Strong organizational skills and attention to detail.
- Excellent communication and problem-solving abilities.
- Ability to work both independently and collaboratively in a fast-paced, safety-sensitive setting.
- Familiarity with MSHA regulations and document management preferred.
- Full-time, Monday to Friday (10-hour shifts), with flexibility for overtime or weekend support as needed.
