Job Summary:
The Vendor Onboarding Specialist role is responsible for managing the process of creating new vendors and editing existing vendors in our ERP in accordance with our policies and procedures, including verbally verifying banking information with vendors, gathering tax documents and performing tax verification procedures. This role is critical for the finance team’s internal control environment to prevent fraud and error.
This position will report to the Assistant Controller for Kindle Energy and will be based in our Princeton, NJ office.
Job Duties/Responsibilities:
•Facilitating the Onboarding Process:
+ Manage the vendor masterfile email inbox and vendor masterfile dedicated system
+ Gather and verify required documentation and information from new vendors
+ Perform verbal verification and early-warning-system checks on banking information
+ Perform Tax ID number verification
+ Perform FCPA sanctions checks
+ Ensure compliance with company policies, processes, legal requirements, and industry standards
+ Manage all vendor setup activities in Netsuite
•Vendor Communication and Relationship Management:
+ Serve as a primary point of contact for vendors during the onboarding process
+ Communicate clearly and effectively with vendors, addressing questions and concerns
+ Build and maintain positive relationships with vendors
+ Administrator role for the dedicated vendor onboarding system (VendorInfo)
+ Identify and mitigate potential risks associated with vendor relationships
+ Communicate clearly and effectively with service initiators on the status of onboarding
+ Produce vendor related KPIs
+ Conducting training on the vendor onboarding process
+ Developing and conducting annual procedures to ensure FCPA sanctions checks are performed on our vendors on a periodic basis
+ Supervision of other vendor onboarding staff
Minimum Requirements:
•High School diploma or equivalent is required
•2+ years’ experience in a vendor onboarding related role
•Knowledge of Vendor onboarding processes: Familiarity with vendor onboarding best practices and industry standards
•Understanding of legal and compliance requirements: Knowledge of relevant laws and regulations related to vendor management
Preferred Qualifications:
•Experience with Relevant Software and Systems: Proficiency in using Netsuite, VendorInfo and other relevant software

Position Pay Range:
•$85,000 - $95,000 total annual cash compensation including annual bonus
