About This Job

The Procurement & Warehouse Supervisor leads the warehouse team and coordinates purchasing, warehouse operations, and inventory management functions by providing support and informing department and company staff on applicable policies and procedures. To be successful in this role you will need to be a person of a meticulous nature, able to keep excellent and detailed records, as well as possessing a friendly and outgoing demeanor as you will be leading a team of warehouse staff, as well as interfacing with multiple team leads and suppliers on a daily basis. The ability to negotiate with and assess the pricing from multiple vendors to obtain high quality material at the best possible prices will be a key aspect of this role. Supervises, trains, develops, and provides support and guidance to direct reports.

The salary range for this position reflects a number of factors considered in compensation decisions, including but not limited to the candidate’s skills, experience, training, licenses and certifications, and the organization’s business needs. In alignment with our compensation philosophy, candidates are typically not placed at the top of the range; however, placement within the range will be based on individual qualifications and relevant circumstances. The range provided represents what KIUC would reasonably offer a qualified candidate.

This position requires the incumbent to be physically on-site. Applicants must be authorized to work for ANY employer in the United States. We are unable to sponsor or take over sponsorship of an employment Visa at this time.


Position Responsibilities:

Plan, organize, supervise and participate in daily warehouse operation and activities, including the receipt, documentation, storage, safety and distribution of equipment and supplies and maintenance of inventory.

o Manages, evaluates, and reports on purchasing & warehouse productivity.

o Tracks and coordinates the ordering, receipt, storage, and timely delivery of goods and materials.

o Orders supplies, establishes, and maintains suitable inventory levels.

o Utilizes historical usage reports, lead-time data, work plans/material forecasts, and established analytical processes to determine appropriate stock levels and establishes set re-order points for regularly ordered materials/supplies.

o Performs a daily inspection of the warehouse grounds; instructs warehouse staff to address any deficiencies.

o Operates and demonstrates use of specialized warehouse equipment as necessary; assure proper and routine maintenance and servicing of warehouse vehicles and equipment in compliance with KIUC policies and procedures, as well as with health and safety regulations.

o Responsible for ensuring safe operations at the warehouse locations; administers KIUC policies in a fair, consistent and equitable manner.

o Assist management in establishing warehouse standards and procedures; advise of budget-related needs; assist in the bid process for various supplies as required.

o Assists the Accounting Manager by ensuring that accounting records for purchasing, warehousing, and inventory are maintained, and in compliance with Generally Accepted Accounting Principles (GAAP); the USDA Rural Utility Service (RUS) Uniform System of Accounts; Hawaii Public Utility Commission (PUC) regulations; federal, state, and local tax codes and regulations; lender covenants; and KIUC policies and procedures.


Supervises warehouse staff to ensure efficient purchasing and warehouse operations.

o Leads monthly safety meetings with warehouse staff.

o Ensures KIUC warehouse safety standard operating procedures are followed.

o Identify and coordinate routine warehouse safety training.

o Supervises, trains, develops, and evaluates warehouse personnel to ensure that their specific duties and responsibilities are being fulfilled in an efficient and professional manner.

o Oversees the delivery and pick-up duties and responsibilities, including routing, scheduling, packing, and loading vehicles.

o Reviews orders, invoices, and bills of lading; compares items received, items delivered/used to ensure accuracy of current inventory.

o Recommends improvements in policies or procedures relating to safety, inventory control, and warehouse supply chain operations.


Responsible for efficient and timely procurement of materials and services.

o Ensures company purchases are in compliance with KIUC’s Procurement Policy.

o Develops rapport and communicates with critical operations personnel in Power Supply and Transmission & Distribution, as well as with suppliers and vendors, to ensure KIUC’s procurement efforts can be carried out in an effective & efficient manner.

o Receives, reviews & approves requisitions for materials and services from users across the company; provides guidance in situations where requisitions need corrections.

o Collaborates with department managers and supervisors to determine competitive sources for requisitioned items, and to establish preferred supplier pricing arrangements.

o Responsible for sourcing, negotiating, and issuing binding contracts and purchase orders to vendors in conformance with KIUC’s Procurement Policy.

o Negotiates and arranges shipping, and expediting services as needed, for requested items.

o Monitors receipts, issues, transfers, and accounting impacts as relates to inventory transactions in the NISC PO (purchase order) and MI (materials inventory) systems; implements system enhancements to NISC PO and MI modules as needed.

o Plans and performs cycle counts/physical inventory counts; prepares necessary documentation for write offs to offset any inventory discrepancies.

o Supervises the processing of requisitions and requests to invoice for material inventory charge out; reviews and/or completes requisitions for needed materials to assure adequate warehouse stock levels.

o Interfaces with KIUC personnel for continuous input and feedback on procurement and inventory control processes.

o Prepares and maintains a variety of records and logs and prepares reports as required; maintains inventory of items in the warehouse; files records as required; supervises the assembly of inventory as required.

o Assists in the month-end and year-end closing processes.

o Responsible for timely and accurate processing of journal entries and accounting transactions to the general ledger.

o Responsible for preparing monthly account reconciliations to the general ledger as assigned.

o Assists the Financial & Corporate Services department with other related duties and projects as required.


Qualifications and Experience:

Bachelor’s degree in Accounting, Business Administration with emphasis in Accounting, or other related areas is required. An equivalent combination of education and/or experience may substitute.

Must possess, or be able to obtain, a valid State of Hawaii Driver’s License.

Minimum of five (5) years of procurement and materials management experience required.

Minimum of three (3) years of supervisory experience preferred.

Minimum of two (2) years of experience in general and/or utility accounting preferred.

Electric utility industry experience strongly preferred.


Cooperative experience preferred.

Demonstrated knowledge of Generally Accepted Accounting Principles (GAAP), accounting theory, and the ability to apply accounting theory to financial transactions.

Demonstrated knowledge of procurement processing, internal control functions, and inventory management practices.

Proficient in Microsoft Office applications.

Excellent analytical and problem-solving skills.

Understanding of Rural Utility Services (RUS) accounting policies and reporting requirements, electric utility industry accounting practices, and regulatory reporting preferred.

Familiarity with State of Hawaii PUC regulatory requirements as it relates to procurement and inventory accounting and reporting preferred.

Demonstrated knowledge of cooperative business practices and philosophies preferred.

Demonstrated knowledge of automated financial systems and PC applications.

Must be detail-oriented and possess strong organizational skills to handle multiple priorities effectively.

Must be able to handle private, sensitive, and confidential information within KIUC guidelines.

Excellent leadership and communication skills, with the ability to positively and effectively engage and influence stakeholders at all levels within the organization.

Ability to work with and direct personnel to include motivation, training and leading in a positive manner, by creating a respectful work environment.

Work is performed in an office environment and requires the ability to: frequently remain in a stationary position to operate a computer, to analyze data, and/or to participate in meetings; frequently perform repetitive movements/motions to operate standard office equipment and/or keyboards; frequently moves about inside the multi-story office – occasionally ascending/descending stairs – to access files, to utilize office machinery, and/or to attend meetings; constantly positions self to maintain physical files and access office supplies/equipment.

The ability to frequently communicate information and ideas so others will understand; must be able to exchange information accurately both in-person and over the phone.

The ability to frequently perform activities requiring close visual acuity to: prepare and analyze documents and spreadsheets; view items on a computer monitor; perform extensive reading; etc.

The position frequently requires distance vision, depth perception, color vision, and the ability to adjust visual focus to: ascend/descend stairs; traverse on different – possibly uneven – flooring surfaces, especially if required to go outside an office environment; and to safety drive a vehicle for business purposes.

This position occasionally requires the ability to bend/crouch in order to move, transport and/or position parcels, packages, boxes, and/or other items within, as well as outside, the office environment weighing up to 50 pounds, and 70 pounds with assistance.

Frequently exposed to noise, dust, light, and temperatures normal for an indoor office environment; occasionally exposed to noise, dust, light, and temperatures normal for an outdoor/commercial work environment when required to leave the office environment.

This position occasionally requires the ability to work longer than a normal work week and/or to travel on- and off-island to attend training, to serve as a representative of KIUC, or for other business purposes.
