Under the general direction of the Human Resources Director, the Temporary Human Resource Assistant, will support the daily functions of the Human Resource (HR) department including onboarding, reporting, workers compensation, compliance, and support of other areas as needed.
· Responsible for entering, tracking, and reviewing all background check results and completing any necessary follow-up on results with leadership.
· Responsible for monitoring of drug testing completion, reviewing and tracking drug screen results and completing any necessary follow-up on results with leadership.
· Establish and coordinate start dates for safety training.
· Communicating new hire details and information for orientation to new hire and hiring managers.
· Completing all ADP entries and changes as request or changes come in.
· Sending out and tracking completion of forms such as policies, beneficiaries and others.
· Create and sending out promotion letters to staff as required.
· Manages contractor and new hire onboarding through systems to ensure access & equipment forms are received.
· Receive resignation letters, schedule exit interviews along with sending out exit paperwork to offboarding employees.
· Sends payroll personnel action forms, schedule system & badge access shutdown and send out termination notices as necessary.
· Receive and complete all related forms, documents and processes for payroll related to 401k changes, ESPP changes, union upgrades, step increases, reporting changes, promotions and bonuses.
· Receives workers compensation tickets, complete follow-up to ensure proper forms are received.
· Provides workers compensation documentation to vendors and log into OSHA log as required.
· Complete recruiting support as needed with the posting of new requisitions, communication of new openings through talent acquisition system. Creation and sending out DocuSign packets to new hires.
· Launch LMS training as needed and tracking all new hire training. Uploads training in LMS for other departments as needed.
· Management of JIRA ticketing system. Assigning tickets to staff and assisting in completion of tickets related to aforementioned tasks.
· Complete monthly billings for various programs including medical, dental, and vision services, leave of absence billings, and water service billings.
· Assistance and communication with retiree population related to inquiries received.
· Creates and provides pension estimates and payroll history as needed.
· Completes audit related information for SOX monthly, provides monthly roster. Provides employee productivity report quarterly to the appropriate party.
· Acts as a back-up for benefits as needed.
· Excellent time management and prioritization skills with a proven ability to meet deadlines.
· Ability to act with integrity, professionalism, and confidentiality.
· Proficient with Microsoft Office Suite or related software.
· Proficiency with ADP Workforce Now (Cornerstone is a plus), and the ability to quickly learn the organization’s HRIS and related HR systems and software.
· Bachelor’s degree in Human Resources, Business Administration, or related field, or equivalent knowledge and experience required.
· At least three years of human resource experience required; human resources generalist experience in the areas of reporting, compliance, onboarding, personnel changes and general HR administrator tasks.
