Systems Coordinator, Logistics
PBF Energy Inc. (NYSE:PBF) is one of the largest independent refiners in North America, operating through its subsidiaries, oil refineries and related facilities. We are seeking a talented Systems Coordinator, Logistics to join our team as a pivotal member that would play a key role here at PBF Energy. This role would be located onsite at our Company headquarters in Parsippany, NJ or at one of our refinery locations.
The Systems Coordinator, Logistics is responsible for overseeing and managing the implementation, enhancement, and support of logistics IT systems and will act as the primary liaison between business stakeholders and IT teams, ensuring successful delivery of projects that align with business goals, operational needs, and technical requirements. This role ensures data integrity, consistency, and accuracy across logistics and related 3rd party systems to support operational excellence, compliance, and business continuity. The ideal candidate is detail-oriented, technically proficient with terminal automation and database systems, experienced in logistics or terminal operations, and has a strong background in project management.
- Lead the planning, execution, and delivery of Toptech Systems projects, including site rollouts, upgrades, integrations, and enhancements
- Collaborate with business stakeholders to gather and document requirements, define project scope, and establish clear objectives
- Translate business needs into technical requirements and ensure IT teams understand priorities and constraints
- Act as the central point of communication between business units and IT, ensuring alignment on timelines, deliverables, and expectations
- Manage project schedules, budgets, risks, and resources, using project management best practices
- Facilitate testing, training, and change management processes during project deployment
- Work closely with Toptech Systems support, vendors, and internal teams to resolve issues and plan system enhancements
- Develop and maintain project documentation including project tasks, action items, plans, status reports, and post-implementation reviews
- Design, implement, and maintain business processes, systems, and procedures to manage customer and carrier truck, rail, and barge loading/offloading information at the facility, ensuring seamless integration with enterprise data and automation systems
- Implement procedures and processes for maintaining Keystop Agreements, Insurance Certificates, trailer, and driver information in a consistent, logical and functional form across the company facilities
- Ensure accurate records for masterdata within the Toptech databases and support any tax file functions such as Zytax that rely upon loading system information
- Problem solve and troubleshoot loading software/hardware system malfunctions. Act as a liaison between users, IT and vendors in applying corrective action. Be on call 24/7 should facility loading system operational issues arise
- Design and implement procedures for providing any periodic TMS or loading reports to internal or external partners. Work with IT and vendors to implement functional report scripts as needed
- Maintain the integrity of all inbound and outbound electronic data feeds such as Petroex, TDS and DTN TABS from the Toptech TMS systems
- Provide primary logistics data coordination between facility loading systems and the ETRM commercial data system to include contracts, customer, product and mode of transport data files
- Engage in periodic audits and continual improvement of procedures and processes related to operating systems, related data files, system security and the accurate transmission or receipt of electronic data
- Evaluate system performance and recommend enhancements as needed
- Associate or Bachelor’s degree in Information Technology, Business, Supply Chain, or related field, or equivalent experience
- 2+ years of experience working with Toptech TMS6/TMS7 systems (or similar terminal automation systems)- Understanding of terminal operations, logistics workflows, and inventory/product management in midstream or distribution environments
- Strong attention to detail and analytical thinking
- Proficient in Excel and familiarity with relational databases or SQL is a plus
- Ability to manage multiple requests and prioritize workload in a fast-paced environment
- Primarily office-based with occasional field visits to terminal sites
- May require availability after hours for critical system updates or troubleshooting
- Experience with SCADA/PLC integration and automation controls
- Familiarity with FCM PLC’s, network communications, Linux Redhat, additive systems, custody transfer protocols, and hazardous materials logistics
- Knowledge of system migration or implementation projects (e.g., from legacy TMS to TMS7)
