We’re looking for a proactive, organized, and friendly Sales Assistant to Support the Director of Sales and the Sales department with administrative tasks. This role is multifaceted and has a variety of specific tasks and requirements listed below. We want someone dependable, detail-oriented, and a natural multitasker.

Key Responsibilities – Please read carefully:
•Use the company's HubSpot CRM to add new customers and track activities with customers.
· Answer the phones promptly and friendly and direct calls to the appropriate team member.
· Greet clients at the front desk when needed and ensure they receive the best customer care.
•Utilizes Google Suite and other software applications to create and edit documents, spreadsheets, and reports.
•Assists with A/R, calling customers with outstanding balances
•Organizes files and photo libraries under the direction of the Sales Director
•Solicits customer reviews via HubSpot reviews and/or Google reviews (or applicable software)
•Updates templates, including project cost worksheets and proposals using Google Sheets, Microsoft Excel, or similar software
•Generates and sends reports using HubSpot (or applicable software)
•Manages and extracts opportunities using the South Florida Business Journal’s Crane Watch
•Research new suppliers for the projects and estimates
•Confirm and update list prices (accessories, items, etc.)
· Create preventive maintenance agreements for new projects
•Track and help follow up on new business opportunities or client leads
•Maintain organization across inboxes, project notes, or task lists
•Coordinate with vendors, clients, or team members as needed
•Other tasks, including research, freight quotes, receivables assistance
•Adheres to daily activity reporting
The Candidate must have:
· Business professional attire and appearance.
· Proven experience as an administrative assistant or in a similar role
· Ability to plan, organize, and meet strict timelines.
· Ability to manage several projects and tasks simultaneously.
· Excellent interpersonal, organizational, planning, and project management skills.
· Excellent verbal and written communication skills.
· Must be detail-oriented with a high level of accuracy in work
· Must have CRM experience. Experience in HubSpot is highly preferred
· High School diploma or higher preferred
•Comfortable using tools like Google Workspace (Gmail, Calendar, Docs), Zoom, and spreadsheets
•Professional, warm, and polished when communicating with clients or guests
•Able to juggle tasks and adapt to changing priorities
•A positive, can-do attitude—no task is too big or too small
•Reliable, punctual, and capable of handling sensitive information
•Willingness to pitch in where needed to help the business run efficiently
•Clean Record: Valid driver's license, clear driving record, and ability to pass a background check.
