Success Factors / Critical Drivers (Dashboard for KPIs)

Morning KPI Reporting (Daily):
Action: Prepare and distribute comprehensive morning KPI reports covering builds, closes, and door-knocking activities. Highlight performance metrics and flag any issues requiring immediate attention.
Outcome: Provide Sales Manager with accurate, timely data to guide daily coaching priorities and resource allocation decisions.
Pipeline Management & CRM Enforcement (Daily):
Action: Quality control all CRM data entry, highlight "stuck" or "silent" files, send reminders to PMs for incomplete updates or other items, and ensure Acculynx/Spotio data integrity.
Outcome: Maintain a clean, accurate sales pipeline that allows for reliable forecasting and prevents deals from falling through cracks.
Training & Development Support (Weekly):
Action: Schedule and prepare materials for bi-weekly sales training sessions, distribute invites, record sessions, and coordinate training logistics.
Outcome: Enable consistent, high-quality training cadence that contributes to PM skill development and performance improvement.
Field Observation Coordination (Weekly):
Action: Set ride-along schedules, update calendar, and coordinate transportation needs for Sales Manager's field coaching activities.
Outcome: Maximize the Sales Manager's field coaching effectiveness by optimizing scheduling and logistics.
Sales Meeting & Documentation Management (Weekly):
Action: Prepare meeting agendas, KPI printouts, and document meeting notes. Distribute action items and follow up on completion status.
Outcome: Ensure productive team meetings that drive accountability and maintain focus on strategic priorities.
Recruiting & Onboarding Administration (Ongoing):
Action: Schedule interviews, handle applicant communications, and assist with new hire paperwork and system access setup.
Outcome: Support efficient talent acquisition and onboarding processes to meet the growth target of 14 fully-trained PMs by end of 2025.
Document & Claim Preparation Support (Daily):
Action: Upload and organize project documents, manage missing document reminders, and assist with claim package preparation.
Outcome: Ensure all customer documentation is complete, organized, and accessible, reducing delays in the sales-to-production process.
Sales Contest Management & Cultural Reinforcement (Ongoing):
Action: Manage leaderboard updates, distribute contest materials, post internal team shoutouts, and assist with team events.
Outcome: Support a positive, competitive sales culture that drives performance and reinforces company values.
Lead Management & Distribution (Daily):
Action: Enter new leads, track status, and assist with fair lead distribution among PMs.
Outcome: Maximize lead conversion through effective tracking and follow-up processes.
End of Day Reporting (Daily):
Action: Compile and send EOD reports to Sales Manager with KPIs, flags, and next-day priorities.
Outcome: Provide actionable insights for continuous performance improvement and effective planning.

Remove 60-70% of administrative load from Sales Manager

Support recruitment communications for 6+ new Project Managers in 2025

Must Haves

2+ years of experience with CRM systems and data workflow management
Demonstrated proficiency in Acculynx, Spotio, or similar sales management platforms
Strong experience preparing data-driven reports and performance dashboards
Advanced skills in Google Suite and Microsoft Office applications
Experience supporting sales teams of 8+ members
Excellent written and verbal communication skills
Proven ability to manage multiple priorities in a fast-paced environment
Valid driver's license and reliable transportation


Like to Have

Previous experience in construction, roofing, or home services industry
Experience with Xactimate or insurance claims documentation
Background in sales operations or sales enablement roles
Experience supporting rapid team growth and onboarding
Sales contest or incentive program administration experience
Bilingual in English and Spanish
Bachelors Degree
