Projects Administrator, whose primary responsibility is to perform administrative duties requiring initiative, independence, and confidentiality in areas of project administration across multiple divisions as required. This position plays a key role in the execution of daily tasks necessary for the efficient operation of the organization. The Projects Administrator provides direct support to the Contracts Team in the Mining Division, as well as additional administrative support to various other divisions. - Collect and verify required employee documentation (e.g., LOA, TD4 forms)
- Support updates to employee cost/hour data
- Set up and maintain project jobs within ERP systems
- Assist with invoice preparation by gathering and uploading supporting documentation (e.g., vendor invoices, client portals)
- Enter labour hours, LOA, and payroll-related data into tracking systems and ERP
- Ensure all required LOA documentation is collected and recorded
- Distribute and track timecards from site personnel
- Support project costing activities, including:
- Purchase order (PO) receiving
- Expense processing (e.g., receipts, mileage reports)
- Inventory costing
- Courier and miscellaneous invoice tracking
- Maintain organized electronic filing systems for all project documentation
- Provide administrative backup support to the Contracts Team
- Assist in digitizing site documentation and compiling project turnover packages
- Support continuous improvement of project management processes, templates, and documentation
- Deal courteously with customers, vendors, and all other coworkers, displaying a professional conduct and appearance
- Provide other administrative support across the Group of Companies, as required
- Perform other related duties as assigned
- Minimum Grade 12 or equivalent
- An Administrative Assistant certificate from a recognized business school
- Minimum of two (2) years work experience preferred but not required
- Knowledge of both Global shop & SAP Applications would be beneficial
- Knowledge of basic accounting
- Project Management Professional (PMP) certificate would be considered an asset
- Proficiency in Microsoft Office 365 applications (e.g., Word, Excel, Outlook) is required
- Strong organizational skills with attention to detail

- Ability to handle competing priorities simultaneously; work well under pressure with time-sensitive deadlines
