Job Summary:
The primary focus of this position is to provide administrative support to internal project management teams, ensuring efficient coordination of schedules, documentation, and basic vendor management. The Project Support Assistant follows established procedures and guidelines and reports to a lead or project manager. This office-based role is essential in supporting day-to-day project management operations.
Example of Duties:
•Assists with project scheduling and milestone tracking.
•Collects and validates time entries from field personnel.
•Prepares and distributes deliverables such as reports, status updates and invoice data.
•Establishes and manages vendor relationships, ensuring timely deliveries and documentation.
•Coordinates third-party contractors as needed (e.g., traffic control, dig alerts).
•Assists with the collection of billables (receipts, documentation).
•Responds to daily operational inquiries from clients and internal teams.
•Reviews and verifies accuracy and completeness of field documentation.
•Enters data into project systems.
•Performs other duties as assigned.
Required Knowledge/Skills/Abilities:
•Ability to manage documentation, scheduling, and reporting efficiently.
•Effectively prioritize workload and meet deadlines in a fast-paced environment.
•Ensure accuracy in data entry, reporting, and document review to maintain project integrity.
•Clear verbal and written communication for interacting with internal teams, vendors, and clients.
•Basic understanding of construction workflows, scheduling, and vendor coordination.
•Resolve administrative or logistical issues within established procedures.
•Microsoft Office Suite (Excel, Word, Outlook), and is generally comfortable with technology.
•Maintain accurate project records, organize documentation, and track key project information.
•Work effectively with project managers, leads, and field teams to support project needs.
•Adjust to shifting priorities and takes proactive steps to support project success.
Experience/Education:
•A minimum of one to three years of administrative experience, preferably in construction, engineering, utilities, or a related industry.
•High school diploma required; coursework in business administration, construction management, or a related field preferred.
Licenses/Certifications:
Possession of a valid California driver's license, Class C, with the ability to maintain insurability under the company’s insurance carrier is preferred.
