Description
The Project Management Assistant supports the Project Management team by planning, coordinating, and executing timelines of projects. They assist with communicating with customers and internal teams, tracking project milestones, maintaining documentation, and identifying and resolving issues to keep timelines and budgets on track. Strong organizational, communication, and problem-solving skills are essential for success in this position.
Responsibilities & Essential Functions•Review newly-sold projects for completeness of information.
•Contact with the customer through email or phone to provide project updates and answer/document their questions.
•Utilize Salesforce and NetSuite to monitor and report status of projects throughout various process stages.
•Assist with preparation of invoices and payments.
•Schedule and coordinate onsite appointments at various project stages.
•Assist with maintaining installation schedules.
•Assist with system monitoring set-up.
•Answer calls and emails for Project Coordinators in their absence/unavailability.
•Provide regular updates on projects to internal departments and stakeholders.
•Build referral and review bases.
Other Duties
•Other duties and tasks as assigned by management.
Skills/Qualifications
•1 or more years of customer service, project coordination, or related field preferred or equivalent combination of education and relevant work experience considered.
•Strong attention to detail.
•Ability to work with managers in different departments.
•Take direction and reliably complete tasks.
•Proficient in Google Suite/Google Workspace (Slides, Sheets, Calendar, Forms, Docs, Gmail) or related software (preferred).
•Experience using CRM software, such as Salesforce and NetSuite (preferred).
•Ability to communicate effectively by phone or email with customers.
•Prolonged periods sitting at a desk and working on a computer (frequent).
•Must be able to lift up to 30 pounds at times (infrequent).
•Ability to type at least 40 words per minute (frequent).
•Must be able to access and navigate each department at the organization’s facilities.
Compensation & Benefits
•This is a full-time non-exempt hourly (overtime eligible) position with an hourly rate of $19.00 - $22.00 (depending on experience and qualifications)
•PTO accrual per hour will be .03847, up to 80 hours annually (120 hours annually after year 1).
