The Project Management Assistant supports the Project Manager in a wide range of administrative and organizational tasks to keep projects running smoothly. You’ll be involved in scheduling, communication, reporting, budgeting, and ensuring projects meet quality standards. This role is ideal for someone who is highly organized, resourceful, and eager to grow within a fast-moving company.
· Communication & Coordination – Prepare meeting agendas, take minutes, distribute updates, and facilitate communication between teams, clients, and stakeholders.
· Project Tracking & Reporting – Monitor progress, update project plans, and generate reports.
· Budget Support – Track expenses, prepare invoices, and assist with budget management.
· Document Management – Maintain organized, accurate, and accessible project files.
· Quality Assurance – Ensure project activities follow established standards and procedures.
· Client Interaction – Support in gathering requirements, providing updates, and addressing concerns.
· Administrative Support – Schedule meetings, manage calendars, arrange travel, and organize project documentation (printing, filing, scanning).
· Organizational Skills – Strong ability to manage multiple priorities with accuracy.
· Communication Skills – Excellent verbal and written communication across diverse stakeholders.
· Technical Skills – Familiarity with project management software, Microsoft Office Suite, and collaboration tools (Asana, Podio, Gantt charts).
· Problem-Solving & Decision-Making – Ability to anticipate issues and take initiative.
· Time Management – Skilled at meeting deadlines and working under pressure.
· Teamwork & Leadership – Collaborative with the ability to manage and support staff (including hiring junior staff).
· Adaptability & Kaizen Mindset – Flexibility to adjust as project needs evolve and always looking for ways to improve.
· Previous experience as a Project Management Assistant, Assistant Project Manager, Project Scheduler, or similar role.
· Hands-on experience with project management and collaboration tools.
· Demonstrated experience managing staff, including hiring and mentoring.
· Strong leadership potential and ability to work independently.
