Wood is seeking a Payroll Specialist to support the contingent labor workforce in Houston on a part-time basis.
The Payroll Specialist is responsible for ensuring contingent workers' timesheets & expenses are entered into relevant systems and ensuring payments are released on time and correctly. The role involves managing corrections to time and payments, accurately maintaining contingent worker records and being responsible for all end-to-end payrolls.
Applicants must be authorized to work lawfully in the US without sponsorship from Wood, now or in the future.
Key Responsibilities:
•Collect and verify timesheets or hours worked for contingent workers.
•Input and maintain payroll data in HRIS or payroll systems.
•Ensure timely and accurate payment in accordance with local labor laws (U.S. and Canada).
•Ensure adherence to federal, state/provincial, and local employment laws (e.g., IRS, CRA, FLSA).
•Maintain proper documentation for audits and internal controls.
•Handle tax documentation such as W-9s (U.S.) or T4As (Canada) for independent contractors.
•Administer all employee benefits programs (Health, Dental, Vision 401(k) Life/AD&D/STD & Cobra,
•annual enrolments and amendments as required.
•First point of contact for Payroll & Benefit queries, working with providers to assist with Benefit claims in a
•Supporting the team with Tax Compliance, working with the relevant states to resolve any Tax notices orqueries, maintaining State registration and set up of new Jurisdictions for State and Local Taxes.
•Responsible for overall Payroll compliance, ACA, EE0-1, multi state working and assistance with
•quarterly and annual reporting.
•Administering of W2/W4 & 1095C payroll forms/Wage Garnishments and Employee data requests.
•Working closely with our outsourced payroll provider ADP, system experience of ADP would be
•General reporting as required from the leadership team.
Qualifications:
•Certified Payroll Professional (CPP) or equivalent is desirable but not essential
Knowledge, skills, and experience:
•3+ years of experience in payroll operations, preferably with contingent or contract labor.
•Strong understanding of U.S. and Canadian labor laws and worker classifications.
•Experience in processing multi-state payroll for both hourly and salary-exempt, as well as non-exempt employees
•Must have practical knowledge and experience in pre and post payroll reports, such as, timecard exception reports, unused deductions etc.
•Experience of ADP is an advantage.
•Ability to work independently and collaboratively in a fast-paced, high-volume environment.
•Proven ability to manage sensitive information with confidentiality and discretion.
