Description
The Payroll and Benefits Specialist plays a key role in ensuring accurate and timely payroll processing, benefits administration, and employee support across all entities within the organization. This role works closely with the HR Director, Finance, and third-party vendors to maintain compliance, resolve issues, and provide an exceptional employee experience related to pay and benefits.
Qualifications
•3+ years of payroll and benefits experience, preferably in construction or a multi-entity environment
•Strong knowledge of payroll laws, ACA, COBRA, and ERISA regulations
•Experience with HRIS and payroll systems (e.g., Paycom, Paymaster, Employee Navigator)
•Proficient in Excel and able to run and interpret payroll reports
•Detail-oriented with a high degree of accuracy and confidentiality
•Strong communication and problem-solving skills
Preferred Certifications
•FPC or CPP (Fundamental or Certified Payroll Professional)
•CEBS or other benefits-related certification a plus
Key Responsibilities

Payroll Administration
•Process biweekly or weekly payroll across multiple entities using [e.g., Paycom/Paymaster], ensuring accurate hours, earnings, and deductions
•Monitor and audit timesheets, PTO, and labor allocations for accuracy and compliance
•Manage off-cycle checks, retroactive pay, and terminations
•Run reports to support cash requirements, labor costing, and executive review
•Maintain compliance with FLSA, federal, and state payroll regulations
Benefits Administration
•Administer health, dental, vision, life, and voluntary benefits using [e.g., Employee Navigator]
•Support open enrollment, new hire enrollments, and qualifying life events
•Reconcile monthly benefit invoices and resolve carrier issues
•Partner with brokers and vendors to ensure smooth service and compliance
•Maintain benefits documentation and employee communications
401(k) and Retirement Plans
•Coordinate employee contributions and employer match updates with third-party administrators (e.g., Ascensus)
•Monitor eligibility, auto-enrollment, and contribution changes
•Process loan requests and distributions as needed
Employee Support & Compliance
•Respond to employee inquiries regarding payroll, benefits, and leave policies
•Ensure compliance with federal, state, and local laws (e.g., COBRA, ACA, FMLA)
•Prepare required payroll and benefit reports for audits, compliance, and leadership
•Maintain accurate records and documentation in the HRIS and benefits systems
