This position is responsible for determining the requirements for, and executing overhaul service orders and shipping invoice documentation for domestic and international orders, both inter-company and direct to customer. Ensures service order transactions are correct and timely to maintain accurate cost of goods sold and accurate finished goods, core major assemblies, and core due in inventory. Responsible for determining the customer’s shipping requirements, generating shipping documents and releasing orders for shipment, working with Overhaul Business Managers and Overhaul Project Managers.
Overall Accountability: Individually responsible for creating and managing service orders and shipping documents for 100-200 overhauls and over $100M of revenue each year.
Products: The complete line of Overhaul products and various work scopes, including new spare sales, shop repairs, customer property overhauls, and overhaul exchanges, including EOCP’s.
Environment: Interacts within a multicultural environment with individuals in various locations and time zones around the world. Collaborates with Overhaul Project Managers, Overhaul Business Managers and Logistics personnel worldwide to gather unique project conditions and customer requirements. This position may be required to respond quickly outside their normal work schedule due to the worldwide accountability and urgent customer needs.
This position functions as the primary hub of transactional information associated with overhaul orders. The Project Administrator takes the project scope as defined by the Overhaul Business Manager and provides shipping documents and instructions for Logistics based on contracted Incoterms, worldwide customs regulations and unique customer requirements.
Working with Finance, the Overhaul Project Administrator provides a record of project related transactions required for invoicing, revenue recognition and cost of goods sold accounting. In addition, service order accuracy is vital in maintaining accurate inventory accounting for new and remanufactured major assemblies, core major assemblies and core due-in.
Receiving Logistics relies on this position for direction on all major assemblies received from customers and other overhaul facilities worldwide. The Overhaul Project Administrator discerns what customer and order number all received major assemblies are associated with and completes the transactions to systematically receive in these assemblies.
For core disassembly, the Overhaul Project Administrator identifies work scope, hours and starts, the reason for return and other customer requirements, including: failure analysis, warranty claims and customer witness disassemblies. This position coordinates with the OPM, OBM and Engineering to ensure these requirements are met, and ultimately releases core with instructions to Disassembly.
- Open and maintain service orders to ensure inventory transactions are accurate and all customer ordered hardware is included on the order
- Generate shipping documents in accordance with customs regulations, and customer purchase order requirements needed to execute shipments worldwide
- Coordinate the release of shipments worldwide with Logistics, Overhaul Business Management and Field Operations to ensure on time delivery
- Validate service orders are reconciled to meet customer invoicing requirements
- Complete inventory transactions in a timely manner
- Determine work scope of core major assemblies and other major assemblies received into the product center by matching material to the correct customer orders
- Provide customer requirements and work scope to Disassembly
- Support Overhaul Business Management with information needed for S&OP reports, production and traffic documentation, backlog, and delivery performance to ensure customer satisfaction
- Perform work in compliance with Sarbanes Oxley
- Supports less experienced Overhaul Project Administrators and able to cover all product lines.
- Support process improvement projects and assist in completion of work agenda items
- A high school diploma or equivalent
- Business experience in order administration, planning, purchasing, customer service or work in a related field
- Bachelor’s degree in Business Administration, Marketing, or equivalent
- Experience managing Baan sales/service orders and inventory transactions
- Proficiency using Baan, Salesforce, Excel, and Trade Automation
- Good organization and communication skills
- Turbo machinery experience with Solar product lines in a manufacturing or overhaul environment
