Job Description – Project Administrator

Office Hours - M-F 7:30-4:00
Job Summary:
The Project Administrator will handle the details related to record keeping of ARCOS, timesheets, ESFT, and closeout documents. You will also be responsible for troubleshooting issues, revamping timelines, giving status reports to the program manager and the project managers and making changes as necessary to ensure the project progresses. Special projects as assigned.
Project Administrator Duties and Responsibilities
•Update Monday.com and Excel with Work Authorization data; Keep track of PO/Authorization documents and process flow.
•Update ARCOs before 8am daily
•Send daily report to PG&E by 8am daily -Add subcontractor schedule and completions to the daily report.
•Enter time for all overhead crews daily
-If a timesheet is missing for the previous day, text or email general foreman requesting the timesheet that is missing copy Lisa and Andy on emails. -Compare timesheet to crew make up that general foreman submitted to make sure no one is missing off a timesheet. If there is a discrepancy email the general foreman to get clarification before entering time.
-If start and stop times are not clear on timesheet, look in work order system to check start and stop times if still unclear contact general foreman.
-If any person is missing time M-F email the general foreman to verify if that person was off. (This especially applies to groundman and yard guys.)
•Pull jobs out of ESFT -Enter new jobs into WO system
-Create labels for SF and EB team -Add job packages to the appropriate folder on Dropbox.
-Notify group that there are new job packages ready to process.
•Closeout documents for subcontractors -Upload subcontractor closeout documents to ESFT -Send tracker to PG&E -Update WO system with dates that documents were sent to PG&E
•Scheduling for subcontractors -Add scheduling dates into the WO system
-Update statuses in WO system (completions, reschedules etc.)

Job Type: Full-time
Pay: $28.00 - $33.00 per hour
