As part of our growing delivery and logistics division, we’re hiring a frontline Operations Support Coordinator to ensure the smooth execution of daily appliance installations across multiple social housing properties.
Summary
The Operations Support Coordinator plays a key operational and customer-facing role, overseeing appliance deliveries, supporting warehouse activities, and ensuring excellent communication with tenants, building supers, and internal teams. This position requires someone highly organized, physically active, and confident in navigating sensitive tenant-facing situations with professionalism and empathy.
You will be CARE’s on-the-ground representative — responsible for coordinating logistics, maintaining delivery accuracy, and upholding service quality and safety standards across our projects.
Key ResponsibilitiesCommunication & Stakeholder Engagement
•Serve as the primary liaison between CARE, delivery teams, building supers, and tenants
•Clearly explain delivery procedures and timeframes to tenants in person and by phone
•Provide real-time updates to supers and office staff about delivery progress and issues
•De-escalate concerns professionally and refer sensitive cases to customer service
On-Site Delivery & Tenant Coordination
•Knock on doors to confirm access and door swing preferences
•Notify tenants 30–45 minutes prior to delivery arrival
•Document delivery attempts (initial, follow-up, post-delivery) when tenants are unavailable
•Ensure tenants are informed of reschedules, substitutions, or follow-up procedures
Conflict Resolution
•Resolve scheduling or product misunderstandings with professionalism
•Redirect any disputes or complaints to the appropriate CARE or building staff
•Maintain a calm and respectful demeanor in high-stress situations
Operational & Warehouse Support
•Conduct daily site visits to supervise delivery operations
•Support delivery teams with appliance placement, serial checks, and protocol enforcement
•Perform driver audits, support warehouse loadouts, and handle reverse logistics returns
•Assist with staging, paperwork preparation, and warehouse SOP compliance
Quality Control & Documentation
•Ensure accurate documentation of serial numbers and consent forms
•Photograph and report damaged items immediately
•Confirm proper door swing setup and secure written approval for exceptions
•Re-inspect buildings post-delivery to ensure cleanliness and no leftover materials
Qualifications & Skills Required:
•Strong verbal communication and interpersonal skills
•Experience in tenant-facing, delivery coordination, or field operations roles
•Comfortable with mobile communication tools (e.g., WhatsApp, smartphones)
•Highly organized and detail-oriented with good documentation habits
•Physically fit and comfortable navigating building environments (stairs, loading zones)
Preferred:
•Knowledge of appliance handling and logistics
•Familiarity with power tools and door swing procedures
•Previous experience working in social housing environments or with vulnerable populations
Work Environment
•Fast-paced, field-based role across multiple social housing locations
•Direct interaction with vulnerable tenants and property management teams
•Requires frequent travel across Toronto and extended periods of walking or standing
•Warehouse time may be required for loadouts, audits, and returns processing
