Overview
We are seeking a highly organized and detail-oriented Operations Coordinator to join our dynamic team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office and support various administrative functions. This position requires strong time management skills, proficiency in office management, and the ability to communicate effectively with team members and clients.
Responsibilities
Customer Service & Office Administration (30%)
•Respond to customer inquiries via phone and email with professionalism and accuracy
•Prepare shipping documents, data entry, and maintain internal records
•Assist with invoicing, filing, and other clerical duties
•Communicate order updates to clients and team members
Warehouse Operations (40%)
•Assist in receiving, picking, packing, and shipping orders
•Organize and maintain warehouse inventory and cleanliness
•Load and unload materials manually or using equipment (forklift certification is a plus)
•Perform cycle counts and assist with inventory accuracy
Dispatch & Logistics Coordination (30%)
•Schedule and coordinate deliveries and pickups
•Assign routes and provide drivers with clear instructions
•Track shipments and ensure on-time performance
•Communicate with drivers and customers regarding delays or changes
•Prepare shipping documents, data entry, and maintain internal records
•Assist with invoicing, filing, and other clerical duties
•Communicate order updates to clients and team members
Requirements
•Proven experience in an administrative or office management role; is a plus.
•Strong organizational skills with the ability to manage multiple tasks efficiently.
•Excellent time management skills to prioritize workload effectively.
•or similar accounting software preferred.
•candidates are highly desirable to assist diverse client needs.
•Strong proofreading abilities with attention to detail in written communication.
•Ability to work collaboratively within a team environment while also being self-motivated.
•Familiarity with clerical duties and front desk operations is beneficial.
