The Office Manager and Receptionist will manage front desk responsibilities and support the daily operations of Guzman Energy’s Denver office. This individual will serve as the first point of contact for visitors, ensuring a professional and welcoming environment. Key responsibilities include greeting and directing guests, answering and routing emails, handling mail and deliveries, maintaining office supplies, maintaining a clean office environment, and coordinating basic office logistics. Reporting to the Chief Administrative Officer, this role plays a vital part in upholding the efficiency and hospitality of the office in alignment with Guzman Energy’s collaborative culture.
Base Compensation:
annual salary of $75k–$85k depending on experience. An equivalent hourly rate can also be considered for a part-time employee available in the office from 8 a.m. to 2 p.m., Monday through Friday
• Welcome visitors by greeting them—in person or on the telephone—and answering and directing inquiries, and notifying relevant employees when visitors arrive
• Manage office supply inventory and expenses by checking stock to determine inventory level, anticipating needed supplies, evaluating new office products, placing and expediting orders for supplies, verifying receipt of supplies, and achieving monthly budget targets
• Manage the building relationship, including communications, requests, follow-up, and billing for landlord, security, cleaning, gym, maintenance, etc.
• Manage and maintain cleanliness/order in the office, including reception, common areas, office spaces, conference rooms, and kitchen
• Onboard new employees and orient them to the office (including coordination with HR and IT, badges, parking passes, desk assignment, gym memberships, etc.)
• Sign for deliveries and ensure all mail and packages are distributed appropriately
• Order weekly company lunches, and track office, event, and food expenses and against a set budget
• Be a team player by proactively taking on tasks as requested in coordination with other administrative staff (ie: culture, celebration efforts, and other tasks as assigned including
travel arrangements, scheduling meetings, setting up interviews or external party visits, holiday parties, ordering swag, etc.) • Notify staff in advance when important guests are visiting, big deliveries are being made, construction is occurring, etc.
• Schedule board meetings, customer meetings, and visits, including making travel arrangements, choosing meeting locations, arranging logistics, making restaurant reservations, ordering swag, etc. in coordination with other administrative personnel
• Experience in receptionist and office management positions
• Proven ability to manage multiple priorities while maintaining attention to detail and accuracy
• Strong interpersonal and communication skills, with a professional and welcoming demeanor
• Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Slack and video conferencing tools (Zoom)
• Demonstrated ability to handle confidential information with discretion and professionalism
• Strong organizational and time-management skills, with a proactive and solutions-oriented mindset
• Familiarity with office budgeting, expense tracking systems, and vendor management
• Experience supporting facilities and building operations, including landlord and maintenance coordination
