Bluestar Engineering Ltd. is a Calgary-based Engineering, Procurement, and Construction Management (EPCM) company, providing upstream, and midstream engineering consulting services to the oil and gas industry in Western Canada.
We are seeking a Receptionist / Office Administrator to join our team. The ideal candidate will have experience in office administration and possess strong organizational skills. This position offers the opportunity to work in a dynamic office environment.
Duties and Responsibilities:
•Greet and welcome all visitors to the office courteously and professionally and presentation.
•Answer and direct all incoming telephone calls with the same courtesies.
•Liaise with the building services and provide Bluestar staff with any related notifications.
•Coordinate and track all building security cards.
•Coordinate and provide all workstation requirements.
•Prepare all required materials and complete all new hire orientations.
•Assist in duties related to the organization of celebrations and team-building events.
•Distribute all incoming mail and courier. Prepare and track outgoing courier shipments.
•Establish and maintain adequate office and kitchen supplies cost-effectively. Ensure supplies are stored and properly located/distributed throughout the office.
•Arrange project and business-related travel, meetings, lunches, etc. as required.
•Provide administrative support to all areas of the company as required.
•Maintain mature, professional conduct and communication with Bluestar staff and clients and ensure confidentiality is maintained in situations of a sensitive nature.
•Responsible for maintaining the cleanliness and orderliness of office facilities, as well as the stability and efficiency of equipment and machinery to support business functions and operations.
•Process vendor invoices according to client systems.
•Coordinate vendor lunch and learns.
•Provide support in the completion of project deliverables and meet Bluestar Management and client expectations.
•Assist with Document Control responsibilities or with any other billable project work as assigned by the Piping Design Coordinator, Project Managers, or Project Engineers.
•Assist in the development of documentation standards and templates used for projects.
Requirements:
•Bachelor’s degree in a relevant field.
•1-3 years of experience as a Receptionist or Office Administrator.
•Intermediate skill level in computer applications (MS Word, MS Excel)
•Excellent written and verbal communication skills.
•Motivated, self-starter with exceptional prioritization and organization skills.
•Ability to adjust to change and multitask in a fast-paced setting.
•Friendly, personable and able to work in a team environment.
•Desire to learn and develop professionally.
