About This Job
Purpose: Provides over all front office support, including the reception area, mail and purchasing office supplies, general office support with a variety of clerical activities and related tasks.
Essential Functions:
•Answers telephones and directs the caller to the appropriate associate.
•Greets and directs visitors to the company.
•Provides callers with information, such as company address, directions to the company location, company fax number, company website and other related information.
•Receives sorts and forward’s incoming mail.
•Maintains and routes publications.
•Orders, receives, stocks, and distributes office supplies Assists with other related clerical duties, such as photocopying, and faxing
•Assist in Account Receivable and Accounts Payable- such as but not limited to:
+ Handle all ship-to setups
+ Handle all account setups
+ Process credit applications (no decision making, just processing)
+ All dealer portal setups
+ Mailing out invoices and statements to mail-only customers
+ Credit references
+ AR refund submissions
+ Insurance Certificate forwarding to certificate management company
+ Light collection calls to low balance customers
+ PO entry for portal customers upon request
•Other duties as assigned
Must have outgoing, friendly personality and superior communication & customer service skills
Experience working in a service department
Ability to write and work on routine reports and correspondence
Good computer skills Knowledge of office procedures
Good organizational ability
High school diploma or GED equivalent
