The Office Manager supports the daily administrative and operational functions of Black Label Services (BLS), ensuring efficient office coordination, streamlined communication, and professional representation of the company.
This role oversees general office management, administrative support, and interdepartmental coordination. The Office Manager serves as a central point of contact between leadership, staff, vendors, and visitors — maintaining organization, facilitating communication, and supporting company initiatives related to marketing, business efficiency, and daily operations.
This position reports directly to the Marketing & Business Efficiency Manager and plays a key role in maintaining a positive, productive, and professional work environment
- Manage day-to-day office operations, supplies, and facility maintenance needs.
- Maintain an organized and professional office environment that reflects BLS standards.
- Coordinate scheduling, meetings, and events for internal and external stakeholders.
- Assist with company communications, announcements, and meeting follow-ups.
- Support leadership with document preparation, data entry, and administrative projects.
- Oversee incoming and outgoing correspondence, deliveries, and mail distribution.
- Maintain organized filing systems (digital and physical) for administrative records.
- Manage vendor relationships related to office services and supplies.
- Support marketing and efficiency initiatives through scheduling, logistics, and documentation.
- Help coordinate employee engagement activities, company events, and training sessions.
- Ensure all work areas and communal spaces are well-maintained and stocked.
- Promote a professional, collaborative, and customer-service-oriented office culture.
- Assist in onboarding new employees, including workspace setup and orientation support.
- Greet visitors and clients, ensuring a positive and professional first impression.
- Direct phone calls, emails, and inquiries to the appropriate departments.
- Provide courteous and efficient support to field staff and leadership.
- Maintain confidentiality and professionalism in all communications.
- Maintains structure, prioritizes effectively, and manages multiple responsibilities efficiently.
- Demonstrates clear and professional communication, both written and verbal.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel) and general office software systems.
- Supports scheduling, tracking, and execution of administrative and operational workflows.
- Ensures accuracy in scheduling, documentation, and communication.
- Handles sensitive company information responsibly and ethically.
- Projects a polished, reliable image consistent with BLS values.
- Works cooperatively with all departments to achieve organizational goals.
- Adjusts effectively to changing priorities and company needs.
- Demonstrates initiative in identifying and resolving administrative issues.
- Exhibits consistency, reliability, and accountability in all assigned duties.
- Identifies opportunities to enhance efficiency and streamline administrative processes.
- High School Diploma or GED required; Associate’s or Bachelor’s Degree in Business Administration or related field preferred.
- 2–4 years of administrative, office management, or operations support experience preferred.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel).
- Excellent written and verbal communication skills.
- Experience supporting leadership and coordinating cross-functional activities preferred.
- Ability to sit or stand for extended periods.
- Ability to lift and move up to 25 pounds occasionally (office supplies, materials, etc.).
