Job Summary
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong leadership skills and have a solid background in office management, ensuring that all administrative functions run smoothly. This role requires excellent communication and organizational abilities.
- Enter Customer orders
- Invoice delivered orders. Mail or email customer invoices
- Apply customer payments
- Make deposits
- Contact customers who have past due balances
- Help customers with questions on invoices
- Verify incoming/outgoing ACH/EFT transactions on bank website.
- Create Purchase orders
- Contact vendors to place purchase orders
- Receive product packing slips
- Enter invoices into Payables
- Pay bills
- Call vendors with discrepancies on invoices.
- Record repackaging done in warehouse. Print labels when needed
- Answer phones/emails
- Help Sales with customer and inventory questions
- Greet walk-in customers, place order or deliver products, take payments
- Schedule deliveries. Work with warehouse for daily deliveries.
- Maintain Google Calendar and warehouse white board
- Prepare Time Sheets for Payroll Manager
- Preparing Month-End for Accountant
- Collaborate with other Sales and Operations to ensure seamless communication and operational alignment.
- Proven experience in office management.
- Proficiency in bookkeeping software for financial management tasks is preferred.
- Excellent organizational skills with a keen attention to detail in scheduling and task management.
- Ability to manage multiple tasks simultaneously while maintaining high standards of quality in work output.
