OFFICE COORDINATOR
(Full-Time, On-site role)
Location: Cardinal, Ontario
Reports To: Plant Manager

We are a 156MW power plant located in Cardinal, Ontario, looking for a skilled and motivated Office Coordinator to join our team. This is an on-site role with day-to-day office presence expected.
Key Responsibilities:
•Duties include payroll, accounts payable, accounts receivable, cash flow, and month-end and quarter-end financial reporting using Great Plains/Concur.
•Assist with the preparation of the annual facility budget.
•Ensure pension payments, reports, and annual filings are timely and accurate.
•Oversee facility upkeep such as grounds, office maintenance, and office equipment.
•Develop, implement, and ensure adherence to office policies and procedures.
•Provide administrative support using Microsoft 365 (Excel, Word, Outlook, Access).
•Assist with the CMMS system software for purchasing and inventory.
•Manage the day-to-day operations of the office to ensure efficiency and organization.
•Handle freight and customs for all plant shipments, incoming and outgoing.
•Provide Front desk support and ensure high-quality customer service.
•Maintain up-to-date filing systems and vendor records.
•Coordinate meetings, travel arrangements, and internal communications.
•Manage landowner transactions, including remittances, reimbursements, and correspondence.
•Plan, organize, and attend company social events.
•Support staff training and development in collaboration with management.
Knowledge and Qualifications:
•Minimum post-secondary education with a two or three-year college business diploma with a strong foundation in finance, human resources, and accounting. Business Administration Diploma preferred.
•Knowledge of finance, accounting, budgeting, and payroll principles, including Generally Accepted Accounting Principles (GAAP/IFRS).
•Ability to analyze financial data and prepare financial reports, statements, and projections.
•Requires a minimum of five years of managing office administration and AP/accounting experience.
•Strong HR knowledge, including onboarding and confidentiality practices.
•A good knowledge of computer systems and computer programs.
•Experience with accounting and payroll systems, Microsoft Dynamics GP, Concur, and ADP preferred.
•Must be comfortable with MS Excel and spreadsheets in general.
•Must be familiar with MS Word and CMMS.
•Knowledge of operations & supply chain management
•Work requires a willingness to work a flexible schedule and meet strict deadlines.
•A valid driver’s license & a favourable police background check.
•Excellent problem-solving and critical thinking skills.
•Strong organizational skills, attention to detail, and ability to work independently.
•Confident communicator, comfortable interacting with all levels of staff.
•Proactive, reliable, adaptable, and team-oriented.
