The office administrator supports the Lead Office Administrator and provides essential clerical and organizational support to ensure the smooth operation of the office environment. They handle a variety of tasks, including managing communications, scheduling appointments, maintaining files, and providing general support to the office staff. This role is crucial in maintaining a productive and efficient workplace.

- Entering data and updating reports : Includes but not limited to creating, editing, and formatting documents such as Excel spreadsheets, reports, and presentations. (Must be proficient in Excel, Word, and PowerPoint)
- Communicating with Talent Acquisition for staffing needs
- Tracking expense report and submitting purchased ordered as needed
- Submitting JIRA tickets for certain tasks needed: Such as ordering gas cards, submitting termination paperwork, submitting written warnings, assigning correct coaching’s in each zone, reimbursements, vehicle accident reports, etc.
- Assisting with time keeping and timecard audits
- Providing support to Claims Department when there is a customer complaint
- Being a supportive role for Office Administrator when needed
- Provide positive feedback and encouragement to other admins maintaining a supportive, positive work environment where we feel like a team. Express regular appreciation for one another.
- Support management team, provide feedback when given the opportunity (positive/negative) and communicate concerns in a professional manner
- Support supervisors and maintain a spirit of cooperation and teamwork.
- Maintain a safe, professional work environment. Take short breaks to regulate nervous system and maintain a calm atmosphere in the office.
- Look for ways to improve interpersonal work relationships and communicate those to manager
- Scan and send supervisors’ documents to HR (Safety meetings, separation forms, written warnings etc.)
- Travel to tax office to renew vehicle registrations
- Attend property tax meeting as necessary with City of Houston as ULS representative to address city errors in ULS assets.
- Windows-based general computer skills as well as experience with Microsoft Office & Excel are required.
This is a full-time position. Monday through Friday. Hours will vary based on client expectations and work availability. Occasional evening and weekend work may be required as job duties demand.
