POSITION SUMMARY: This position provides high-level administrative and facilities services to the Houston office. Responsibilities include planning and scheduling meetings and teleconferences, coordinating travel logistics for Senior Leadership, overseeing day-to-day office operations, managing office supplies and vendor relationships, reviewing and routing correspondence, conducting research, and drafting confidential communications and documents. This position will also be the main point of contact with the company’s current leasing facility (WeWorks), and will play a key role in the transition of the company’s offices from the current temporary location to its future permanent location.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
•Screen incoming phone calls
•Manage Outlook email, contacts, and calendars
•Perform complex and sensitive administrative duties, including preparing confidential correspondence, memos, forms and documents.
•Arrange travel, obtain visas and passports as needed for Senior Leadership; manage expense reimbursements.
•Oversee daily Houston office operations, including visitor log(s), ensuring all receive appropriate export clearance.
•Support workspace planning, equipment coordination, and seating arrangements in collaboration with HR, IT, and hiring managers.
•Maintain office supplies inventory.
•Support employees with any parking issues or concerns.
•Maintain various databases and spreadsheet files as needed or requested by the Houston team.
•Event and meeting management; Reserve conference rooms, prepare PowerPoint presentations, arrange catering if necessary, and coordinate distribution of presentations and materials.
•Provide general administrative support as necessary.
•Responsible for badging and office access.
•Conduct office tours, and assist with new hire onboarding (in collaboration with HR)
•Provide feedback on space planning projections.
•Collaborate with and support the NuScale Power Safety Committee to assure all facility-related safety issues are resolved effectively and in a timely manner.
•Perform other duties as assigned

MINIMUM SKILLS, QUALIFICATIONS AND ABILITIES:
•Education: A minimum of an Associate’s degree. Bachelor’s degree preferred. Alternatively, an additional 2 years of full-time applicable experience (7 years total) may be considered in lieu of a degree.
•Experience: A minimum of 5 years of full-time administrative experience supporting higher level management is required. Working for a professional services organization or energy industry experience is required. Must be an expert user with MS office suite programs (Word, Excel, PowerPoint, Outlook, etc). Must have exceptional organizational and multi-tasking skills, with an emphasis on coordinating conflicting demands and priorities. Experience with international travel is strongly preferred.
