Overview:
The IT Project Coordinator plays a critical role in supporting IT project portfolio management by managing the intake and processing of new project requests, preparing project documentation for review by the Project Portfolio Steering Committee, and assisting Project Managers with administrative tasks. This role ensures the IT project management runs efficiently by streamlining processes, maintaining accurate records, and allowing Project Managers to focus on leading and executing projects.
Essential Functions:
1. Project Request Processing: 35%
•Coordinates and manages the intake of new project requests.
•Validates project requests and prepares materials for Steering Committee review.
•Maintains the project request tracking system and provides regular updates.
2. Administrative Support for Project Managers: 30%
•Assists with project plans, schedules, and documentation.
•Tracks task assignments and deliverables.
•Coordinates project meetings, prepares agendas, and follows up on action items.
•Compiles and formats status reports for consistency and accuracy.
3. Documentation and Reporting: 20%
•Maintains and organizes the project repository of templates, tools, and documentation.
•Assists in tracking and documenting project risks, issues, and decisions.
•Assists in preparing reports and dashboards for leadership, focusing on portfolio performance and metrics.
4. Process and Tool Support: 15%
•Supports the implementation and administration of project management tools.
•Ensures data integrity and usability within tools and systems.
•Recommends and assists with improvements to workflows and reporting practices.
Education and Experience:
•Bachelor’s degree in Business Administration, Project Management, or a related field.
•1-3 years of experience in a project support or coordination role, preferably in a PMO or similar environment required.
•Familiarity with project portfolio management processes and tools required.
•Certified Associate in Project Management (CAPM) or equivalent preferred but not required.
Skills/Abilities:
•Excellent organizational and time management skills with a strong attention to detail.
•Analytical skills with the ability to synthesize data into clear, actionable insights.
•Strong written and verbal communication skills.
•Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
•Proficient with project management software (e.g., MS Project, Smartsheet, Asana, Jira).
•Able to manage multiple tasks and priorities in a fast-paced environment.
Work Environment:
•Able to work from home, if approved, with efficiency equal to the standard office environment.
Physical Demands:
•Prolonged periods of sitting at a desk and working on a computer.
•Must be able to lift up to 15 pounds at times.
