The Inventory Specialist is responsible for the comprehensive oversight of all inventory operations related to bulk propane tanks, parts and materials. This includes maintaining accurate inventory levels in the warehouse/parts room, ensuring all field service vehicles (trucks and trailers) are properly stocked, and optimizing inventory control processes to support field operations and reduce downtime.
- Maintain accurate and up-to-date inventory records for all parts and materials across the storage yards, parts room, service trucks, and trailers.
- Conduct regular cycle counts and full inventory audits (monthly/quarterly/annually).
- Reconcile physical counts with inventory records and investigate/resolve discrepancies.
- Monitor inventory levels and reorder points to prevent stockouts and overstock situations.
- Implement and enforce standardized labeling and storage systems for easy part identification and retrieval.
- Establish and maintain standardized inventory lists for each field service vehicle based on technician needs and service demands.
- Perform regular inspections and audits of truck and trailer inventories to ensure compliance and efficiency.
- Coordinate restocking of vehicles after jobs or at scheduled intervals.
- Work with technicians to track part usage and returns, ensuring accurate documentation and reporting.
- Collaborate with procurement or purchasing team to place orders for required inventory.
- Receive incoming shipments, verify contents against purchase orders, and inspect parts for damage or accuracy.
- Tag, store, and organize parts upon receipt in accordance with established procedures.
- Maintain and update inventory management software or ERP system with real-time data.
- Generate reports on inventory performance, trends, usage rates, and discrepancies.
- Provide insights and suggestions to improve inventory accuracy and reduce carrying costs.
- Develop and continuously improve inventory control procedures and best practices.
- Ensure compliance with safety protocols, company policies, and industry regulations regarding storage and handling of materials.
- Train staff and field technicians on inventory procedures and proper part handling as needed.
- Coordinate with service managers, technicians, and warehouse staff to align inventory operations with daily field service needs.
- Serve as the primary point of contact for all inventory-related inquiries.
- Support emergency or after-hours parts delivery when needed.
- High school diploma or GED required; Associate’s or Bachelor's degree in logistics, supply chain, or related field preferred.
- Forklift Certification, OSHA Certification.
- Strong organizational skills, attention to detail, excellent communication, ability to multitask, and problem-solving skills.
- 3+ years of experience in inventory management, preferably in HVAC, plumbing, electrical, or a similar technical service industry.- Proficiency with computerized inventory management systems and Microsoft Excel.
- Familiarity with HVAC parts, tools, and equipment.
Position Type/Expected Hours of Work
This is a full-time position. Standard days and hours of work are Monday through Friday, 7:00 a.m. to 3:30 p.m. May occasionally require early morning, late evening, or weekend hours during inventory counts or emergencies.
Primarily in warehouse/parts room environment with regular field work (truck/trailer audits). Work may be performed in an outdoor setting, which could include inclement weather, heat and humidity, and exposure to dust. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
