We have an opening in our Maintenance Department for one Inventory Specialist position. Depending on experience, the role will be filled as either Inventory Specialist I or II.

Job Grade: Inventory Specialist I - 7 ($24.90 – $30.41)
Inventory Specialist II - 9 ($29.76 – $36.54)
Schedule: M-F 8:00 a.m. – 4:30 p.m.
Performs all aspects of purchasing for Maintenance and manages the inventory, allocation, and control of those items for the Maintenance Department.
- Inventory Control – Maintain inventory management, proper labeling, storage and barcoding of inventory and assets at multiple facilities.
- Inventory Replenishment – Replenish inventory and assets at multiple facilities to ensure that the organization has sufficient stock levels to meet needs.
- Maintain Stock Levels – Continuously assess stock levels of inventory and assets to ensure that they align with demand forecasts and operational requirements, avoiding excess stock or shortages.
- Inventory Audits – Participate in regular stock counts, reconciliation, and auditing of inventory and assets to ensure that physical stock matches system records. These methods can include physical, cycle counts and spot checks.
- Spare Inventory Management – Manage spare parts and assets and ensure critical spare parts and assets are readily available for use.
- Issue/Return Inventory – Assists staff with getting required inventory or assets to complete their job tasks, track details of transaction in CMMS.
- Resolve Issues – Work with internal staff to resolve any inventory discrepancies, delays or supply chain issues.
- Track Inventory Movements – Continually monitor inventory transactions, including receipts, stock transfers, usage and returns, to ensure accurate records are maintained in the system.
- Storeroom Organization – Maintain clean, organized storeroom and properly store items according to established procedures.
- Readiness For Planned Parts – Coordinate with proper staff to ensure planned parts for workorder and preventive maintenance are available when needed.
- Obsolete, expired and unused Inventory – Regularly review inventory and asset records to identify obsolete, outdated, or unused inventory.
- Inventory Labeling – Ensure all inventory and assets are properly labeled upon arrival, following the established labeling procedures.
- Facility Key Management – Work with Facilities to manage and maintain the storing, issuance, tagging and tracking of keys in Key Software.
- Manage Purchase Orders – Create, track and manage PO’s for inventory, services and assets, ensuring that all purchase orders are fulfilled as per the requirements and within budget constraints.
- Receiving – Record the receipt of inventory, services and assets into CMMS and adjust stock levels or workorders based on the received quantity.
- Supplier Management – Establish and maintain relationships with suppliers, ensuring on-time delivery and competitive pricing for inventory and assets.
- Procurement of Assets – Assist with the purchasing and documentation of assets being purchased within the organization.
- Maintain Accurate Records – Ensure all activities and documents are accurately recorded in CMMS.
- Monitor Costs – Track cost related to the procurement of inventory and assets to ensure adherence to budget limits.
- Cost Savings Initiatives – Identify opportunities to reduce cost through more efficient purchasing practices, bulk ordering and negotiating discounts.
- Cost Forecasting – Use historical data and trend to forecast future inventory costs and inform budgeting decisions.
- Assist with Budgeting – Work with the finance team to prepare inventory and asset procurement budgets, ensuring alignment with financial goals.
- Quality Control – Oversee the quality checks for procured inventory and assets, ensuring that ll items meet the required standards before they are accepted into the inventory.
- Process optimization – Regularly assess and improve inventory purchasing processes to enhance efficiency, reduce lead times, and minimize costs.
- Technology Utilization – Leverage technology and inventory management software to improve purchasing workflows, tracking and reporting.
- Collaboration – Work with other departments to align cost control strategies and share data and insights regarding inventory costs.
- Inventory Policies – Review and refine inventory policies to reduce operation cost, such as reducing safety stock, improving demand forecasting, or adjusting order quantities.
- Reporting and Cost Analysis – Generate various inventory reports to aide int eh proper management of inventory and assets.
- Administrative Support – Record keeping, filing, answering phones, preparing reports, assisting on department projects, and helping any purchasing or inventory requests.
Any combination of training and work experience which indicates possession of the skills, knowledge, and abilities to perform the job duties successfully.
- A high school diploma or GED is required.
- Minimum of one year of inventory control experience.
- Preferred experience in IBM Maximo
- Must be well organized, detail oriented, and work as part of a team.
- Excellent verbal and written communications skills required.
- Solid knowledge of Microsoft Office software required.
- Excellent data entry skills required.
- Valid driver's license with an acceptable driving record.
