The Inbound Specialist is responsible for coordinating and scheduling all inbound ocean and air freight shipments to ensure timely, accurate, and efficient material flow into EAE USA facilities. This role focuses heavily on shipment scheduling, tracking, and maintaining accurate inbound data within SAP. The position requires daily communication with freight forwarders, carriers, customs brokers, and internal teams to support smooth inbound operations and maintain full visibility of all shipments.
- Schedule and monitor inbound ocean and air freight shipments from global suppliers.
- Update shipment details, delivery dates, and status changes in SAP to ensure accurate system visibility.
- Track containers and air freight daily, escalating delays or exceptions as needed.
- Enter and maintain inbound shipment information in SAP, including ETAs, carrier details, and documentation.
- Upload and verify commercial invoices, packing lists, bills of lading, proof of delivery, and other import documents.
- Ensure all inbound records are complete, accurate, and audit ready.
- Communicate with freight forwarders and carriers to confirm shipment ETAs, schedules, and coordinate delivery appointments.
- Follow up on transit updates, delays, and delivery confirmations.
- Support resolution of transportation issues impacting inbound flow.
- Communicate inbound schedules to warehouse and procurement teams to support receiving and production planning.
- Notify internal stakeholders of any changes that may impact material availability.
- Maintain inbound shipment logs, container tracking sheets, and SAP reports.
- Support reporting on transit times, delivery performance, and inbound accuracy.
- Identify opportunities to streamline inbound scheduling, SAP data accuracy, and communication workflows.
- Support implementation of digital tools and best practices for improved shipment visibility.
- Manufacturing, Logistics, Business, and Industrial Logistics Experience or related field preferred.
- 2–5 years of experience in inbound logistics, freight coordination, or supply chain operations.
- Hands-on experience scheduling and tracking ocean and/or air freight shipments.
- Strong proficiency in SAP or similar ERP systems (required).
- Ability to maintain accurate data and manage high-volume information.
- Solid Excel skills for tracking, reporting, and analysis.
- Understanding of Incoterms, import documentation, and global freight processes.
- Experience working with freight forwarders, customs brokers, and carriers.
- Strong communication, organization, and problem-solving abilities.
