Role Description
The HR Onboarding Specialist is responsible for managing the onboarding process for new union employees, ensuring a smooth transition into the organization. This role involves coordinating all aspects of the onboarding process, including documentation, orientation, benefits enrollment, and compliance with union agreements. The ideal candidate will have experience working with unionized workforces, a strong understanding of labor agreements, and excellent organizational and communication skills.
The right candidate will be highly organized, attention to detail, proactive, flexible, and able to represent our company in a professional and courteous manner. Critical thinking, written and verbal communication are an integral part of this position.
Duties
•Coordinate and manage the onboarding process for new union employees, rehires, and transfers, ensuring all required documentation is completed accurately and on time.
•Schedule and conduct orientation sessions to introduce new hires to company policies, procedures, and union agreements.
•Schedule and ensure apprentice classes, tests, and additional requirements are in compliance with union/apprenticeship requirements
•Serve as the primary point of contact for new union employees throughout the onboarding process, addressing any questions or concerns.
•Prepare, review, and maintain employment documents, ensuring compliance with union agreements, labor laws, and company policies.
•Collect and verify necessary forms, such as l-9s, W-4s, and union membership applications.
•Liaise with union representatives to ensure that onboarding processes align with the terms of collective bargaining agreements.
•Communicate and enforce union rules and regulations.
•Stay informed about changes in union agreements and labor laws that may impact the onboarding process.
•Develop and deliver onboarding orientation programs, including training on safety protocols, workplace conduct, and job-specific requirements.
•Coordinate with other departments to ensure new hires receive the necessary training and resources for their roles.
•Addressing any onboarding-related issues or grievances.
•Generate reports on onboarding activities, including completion rates, compliance metrics, and employee feedback.
•Maintain up-to-date records of union employee status, including seniority, probationary periods, and contract compliance.
•Assist with compliance tasks as needed.
•Assist and/or perform other related duties and/or tasks, as needed and required.
Experience
•Proven experience in an HR role or a similar position involving union relations.
•Familiarity with Spectrum accounting software is highly desirable.
•2 to 4 years of experience in HR, employee onboarding, or labor relations, preferably in a unionized environment.
•Direct experience working with unionized workforces.
•Knowledge of collective bargaining agreements and procedures related to unions.
•Excellent attention to detail and strong organizational skills.
•Ability to work both independently and as part of a team in a fast-paced environment.
