Position Summary:
The Fleet Assistant is responsible for supporting the fleet department by performing accurate and timely data entry, tracking vehicle information, assisting with maintenance scheduling, and ensuring proper documentation is maintained. This is an in-house, administrative role that helps ensure fleet operations run smoothly and efficiently.
Key Responsibilities:
•Enter and maintain vehicle data into fleet management software and spreadsheets (e.g., VINs, mileage, service dates, inspections, licensing).
•Assist with tracking vehicle locations, assignments, and availability.
•Maintain up-to-date records for vehicle maintenance, repairs, insurance, and registration.
•Schedule routine vehicle/equipment maintenance and service appointments.
•Coordinate with drivers, mechanics, and vendors to gather necessary information.
•Monitor fuel usage and mileage logs for discrepancies or trends.
•Help with filing, organizing, and digitizing fleet-related documents.
•Support compliance with DOT, OSHA, and company-specific safety requirements.
•Generate reports on vehicle/equipment status, utilization, maintenance history, or upcoming renewals.
•Assist with ordering and tracking vehicle supplies or equipment (decals, GPS units, etc.).
•Review and approve invoices.
•Handle other administrative tasks as needed to support the fleet and operations team.
Qualifications:
•High school diploma or equivalent; associate degree or administrative training is a plus.
•Prior experience in data entry or fleet/transportation is preferred.
•Strong attention to detail and accuracy in data entry.
•Excellent organizational and time management skills.
•Proficient in Microsoft Office (Excel, Word, Outlook); experience with fleet software is a plus.
•Ability to prioritize and handle multiple tasks in a fast-paced environment.
•Effective communication skills and a team-oriented attitude.

Pay: From $22.00 per hour
Expected hours: 40 – 50 per week
