The Executive Assistant will primarily support the COO and provide additional support to executive team members as directed.
· Heavy calendar management including scheduling meetings, conference calls, travel and annual events with internal and external clients.
· Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
· Be able to take detailed messages to executives and employees
· Prepare for executive meetings in advance including printing of materials for all meetings, texting conference call numbers and codes for conference calls and sending out meeting reminders, when necessary.
· Organize, prepare and manage expense reports monthly for executives
· Manage ordering and stocking of office supplies, coordinating facilities requests and other general office duties.
· Communicate professionally with internal and external employees, customers, vendors, board members as well as various business contacts.
· Create, modify and maintain presentations, documents or spreadsheets, as requested.
· Reserve hotel rooms, transportation services and meeting arrangements for employees and corporate events.
