As Executive Assistant to a C-level leader, you will be the linchpin of daily operations, ensuring seamless coordination, communication, and execution of high-impact activities. This role requires discretion, agility, and a deep understanding of the energy sector’s pace and complexity. We are seeking a highly organized, proactive, and discreet Executive Assistant to support one of our C-level executives. This role demands exceptional communication skills, strategic thinking, and the ability to manage complex schedules and sensitive information. As a trusted partner, you will play a critical role in enabling the executive to operate efficiently and effectively across the organization.
- Calendar & Schedule Management: Coordinate meetings, appointments, and travel arrangements across multiple time zones.
- Communication Liaison: Serve as the gatekeeper and point of contact between the executive and internal/external stakeholders.
- Meeting Preparation: Prepare agendas, presentations, and briefing materials; take notes and follow up on action items.
- Travel Coordination: Organize complex domestic and international travel, including itineraries, accommodations, and logistics.
- Confidential Support: Handle sensitive information with discretion and maintain confidentiality at all times.
- Project Assistance: Support strategic initiatives and cross-functional projects as needed.
- Expense Management: Process reimbursements, track budgets, and manage executive-related expenses.
- Office Operations: Assist with administrative tasks such as filing, correspondence, and document management.- Minimum of 5+ years supporting senior executives in a fast-paced corporate environment.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite and calendar management tools (e.g., Outlook, Teams, Zoom).
- Ability to anticipate needs, think critically, and offer solutions.
- High level of professionalism and emotional intelligence.
- Bachelor’s degree preferred.
