Overview
We are seeking a dedicated and organized Receptionist/Administrative Assistant to join our team. This role is essential in providing exceptional customer service and administrative support to ensure the smooth operation of our office. The ideal candidate will be friendly, professional, and possess strong communication skills, with the ability to manage multiple tasks efficiently. This position is temp-to-hire, part-time with occasional full-time hours.
Responsibilities
•Greet and assist visitors in a courteous, professional manner at the front desk.
•Manage incoming phone calls using multi-line phone systems, directing calls as necessary.
•Maintain an organized filing system for both physical and electronic documents.
•Create, edit, and manage documents and spreadsheets.
•Provide clerical support including data entry, scheduling meetings, and managing calendars.
•Handle correspondence and communication in a professional manner.
•Process all incoming and outgoing postage and shipping.
•Support other administrative tasks as needed to ensure efficient office operations.
•Support Project Managers with project bidding and contract coordination.
Experience:
•Previous experience in an administrative or receptionist role is required.
•Proficiency in Microsoft Word, Excel, Outlook is required.
•Associate degree, Certificate, or progress toward completion is required.
•Experience with Microsoft Access and Publisher is highly preferred.
•Familiarity with civil engineering, civil construction, or similar environments is preferred.
•Strong customer service with a focus on creating a welcoming atmosphere for all visitors.
•Ability to work independently as well as part of a team while meeting strict deadlines.
•Excellent organization and attention to detail are essential for success in this role.
