Salary Range: SP1 Level 3, Min $60,160 – Mid $75,200 per year. The final compensation for this position will be determined based on individual factors, including education, qualifications, experience, and internal equity.

The Real Estate & Workplace Team, at the Alberta Energy Regulator (AER), is looking for a dedicated and proactive Facilities Coordinator to join our dynamic team. This role is essential in ensuring the smooth functioning of our operations by coordinating critical repairs, building maintenance, and general repairs. As the primary point of contact for property managers, contractors, and staff, you will maintain regular communication and oversee site-specific projects and initiatives. What your day-to-day will look
like:* Coordinate day-to-day facility maintenance services, including both reactive and preventative maintenance activities. Conduct walkthroughs of workplace operations and manage maintenance services.
•Provide exceptional customer service and represent the team and organization to internal and external stakeholders.
•Oversee site-specific projects, manage changes, and ensure effective communication throughout the process. Provide valuable input on procurement bids, support or lead change management efforts, and use project management standards for documentation, system updates, scheduling, coordination, procurement, and stakeholder change management.
•Confirm building permits, work authorizations, and contract work permits. Maintain effective communication with property managers, vendors, internal branches, and contractors. Oversee contractor work progress, review milestones, cost estimates, and completion objectives.
•Review monthly budget projections for accuracy and invoice coding, ensuring proper financial management and accountability.
•Coordinate and support the delivery and receipt of furniture, fixtures, and equipment (FF&E) during moves, adds, and changes projects. Support onboarding setup and offboarding cleanup, inventory management, and oversee physical moves of FF&E items.
•Assist with pool vehicle reservations and ensure pool vehicles are maintained and inspected regularly as the Pool Vehicle Key Holder.
What we’re looking for in you:* Diploma in Facility Management, Business Management or a related field.
•5+ years of experience in facilities coordination or a related field, including 3+ years experience with systems furniture and demountable wall systems.
•Proficiency in using facility management tools and software e.g. integrated workspace management systems.
•Proven ability to troubleshoot and problem solve in a fast-paced, deadline-orientated environment.
•Excellent communication and customer service skills, including proven ability to build and maintain long-term relationships.
•Ability to manage budgets and financial projections.
•Pre-placement Medical required.
•Possess a fully valid class 5 driver’s license along with a positive driving record.
•Required Travel approximately 6 times per year to other AER office locations with potential overnight stay.
•Required physical demands: must be able to lift over 50 lbs.
•Additional training is required or will be provided: First Aid Certification, & WHIMIS.
