We are seeking a highly organized and proactive ConstructionOffice Manager to oversee the daily administrative and financial operations of the Hermitage construction office. This role is the "glue" that holds our field and office teams together. The ideal candidate will balance traditional office management—such as scheduling and vendor relations—with essential Accounts Payable (AP) and Accounts Receivable (AR) duties to ensure our projects remain financially healthy and on schedule.
- Serve as the primary point of contact for clients, vendors, and other Vulcan lines of business.
- Maintain organized digital filing systems for project contracts.
- Manage office supplies and mail distribution.
- Assist project managers with document control, including maintaining the Hermitage Construction folder on the company G Drive.
- Understand basic duties of the Contract Administrator
- Serve as a backup when the Contract Administrator is not at work
- Review and code incoming invoices and material receipts.
- Verify that invoice amounts align with purchase orders and field delivery tickets.
- Communicate with vendors regarding payment status and resolve billing discrepancies.
- Ensure all vendors provide valid Insurance Certificates and Lien Waivers prior to payment release.
3. Accounts Receivable (AR) & Billing
- Monitor aging reports and perform soft collections calls on overdue accounts.
- Process incoming checks and digital payments, ensuring accurate entry into the accounting system.- Experience: 3+ years in office management, ideally within the Construction or Trades industry.
- Financial Literacy: Solid understanding of basic bookkeeping, including the difference between cost types (e.g., labor, materials, equipment).
- Software Proficiency: * Strong skills in Microsoft Excel and Word.- Experience with construction accounting software (e.g., QuickBooks, Sage, Spectrum, or Oracle) is highly preferred.
- Attention to Detail: Ability to spot errors in complex invoices or contracts before they become costly issues.
- Communication: A professional demeanor with the "toughness" required to follow up with subcontractors or clients regarding paperwork and payments.
