Universal Oil is a 148-year-old employee-owned fuel & lubricant company located in Cleveland. We are seeking an experienced candidate for our Billing Specialist position. We are looking for an outgoing, detail-oriented person who can multitask in a fast-paced environment. A day-in and day-out focus on customer support, service, and the ability to learn various aspects of products are crucial to this position. The candidate should have at least 3 years of experience in an office environment, working with customers and assisting with sales and operations functions. Proficiency in the MS Office suite, including Word, Excel, and Outlook, is essential. This position would report to the Controller, who manages the finance department.

Responsibilities include, but are not limited to:
- Invoicing customers
- Pricing products from internal software and correspondence.
- Processing & sending invoices to customers, along with any required supporting documentation.
- Assisting in the monthly closing of financials concerning open orders.
- Running various reports to ensure proper billing of customers.
- Working with customers to resolve any issues or discrepancies with their invoices.
- Scanning all documents related to billing into our ERP system.
- Updating internal reports to reflect any issues or open items concerning invoices not yet billed promptly.
- Updating current accounts as needed with direction from customers.
- Work with A/R on an as-needed basis.
- Positive team player with experience in problem-solving for customers and coworkers.
- Able to work with coworkers close by - we are in an open-space office environment.
- Thrives in a collaborative environment and can partner with colleagues at all levels of the organization.
- Strong communication skills are a must.
- Quick learner who can display critical-thinking skills.
- Provide backup to Accounts Payable (AP) & Accounts Receivable (AR)
- Work in a fast-paced, team environment with exceptional phone skills.
- Be able to multitask and problem-solve.
- Be attentive to details & organized.
- Possess excellent time management skills.
- Positive, one team attitude.
- Experience with MS Office Suite.
- 3 Years’ experience in an office environment.
This position involves daily interaction with customers, salespeople, drivers, and all office personnel, so exceptional verbal communication skills are crucial.
- Education: High school diploma or equivalent required.
- Experience: Minimum 3 years in sales support, customer service, or administrative roles (experience in oil & gas or industrial services is a plus, but not required).
- Experience with Microsoft Business Central ERP is a plus, but not required.
- Annual Salary: $45,000
- Schedule: Monday–Friday, 8:00 AM – 5:00 PM (40 hours per week)
