Job Overview
We are seeking a detail-oriented and organized Billing and Planning Specialist to join our team. The ideal candidate will play a crucial role in managing billing processes, ensuring accuracy in financial records, and maintaining effective communication with clients and internal departments. This position requires a strong understanding of billing, data entry, and scheduling, along with the ability to handle sensitive information with discretion. The Billing and Planning Specialist should also be familiar with scheduling practices as they relate to projects' progress.
Responsibilities
•Generate and issue invoices for goods and services rendered to customers.
•Ensure accuracy of invoices and resolve discrepancies as needed.
•Maintain accurate and up-to-date customer information, including contact information, billing addresses, and payment terms.
•Apply customer payments to outstanding invoices, ensuring that all payments are correctly recorded and applied to the appropriate customer accounts.
•Contact customers with overdue balances to collect payments and resolve any issues related to payments or outstanding invoices.
•Work with customers to resolve any disputes related to payments or outstanding balances and escalate any unresolved issues to management.
•Work closely with other departments, such as sales and field workers, to resolve any issues related to invoicing, payment processing, or collections.
•Develop project schedules based on project requirements and timelines.
•Monitor project progress and adjust schedules as needed to ensure that projects are completed on time.
•Identify potential scheduling conflicts and work with project manager to resolve them.
•Work with project managers to identify and allocate resources, including personnel and equipment, to ensure that project schedules are met.
•Conduct regular reviews of project schedules to identify areas for improvement and adjust schedules accordingly.
•Collaborate with the accounting department to reconcile accounts.
Qualifications:
Technical
•Strong attention to detail for accurate data entry of customer and billing information.
•Familiarity with scheduling software (e.g., Microsoft Project, Smartsheet or similar).
•Ability to build and adjust project timelines.
•Understand how to allocate staff/equipment/time for projects.
•Analyze schedules to identify potential conflicts or inefficiencies.
•Excellent mathematical skills for accurate billing calculations.
•Strong organizational skills and the ability to manage multiple tasks efficiently.
Soft Skills
•Ensures accuracy in financial records and schedules.

•Can manage multiple priorities (invoices, follow-ups, schedules).
