Job Summary
The Assistant Project Manager provides comprehensive support to Project Managers and field operations in executing underground infrastructure projects. This role focuses on project coordination, data management, client communication support, and administrative functions that ensure smooth project execution. The position requires strong organizational skills and attention to detail in a dynamic environment.
Key Responsibilities
Project Support & Coordination
•Project Implementation: Partner with project managers and field operations managers to execute project goals, including project overviews, specification requirements, contract details, and scheduling
•Pre-Project Coordination: Assist with pre-CCTV videos, required permitting, and material ordering in advance of work commencement
•Material Procurement: Assist in procuring materials and subcontractors within project budget parameters
•Site Support: Perform site visits to assess production rates and resource needs
•Safety Support: Promote safety-first culture and assist in conducting weekly safety meetings
Project Monitoring & Reporting
•Data Management: Compile and review production data (DWR) from field crews, maintain master DWR with daily input of revenue, labor hours, and job notes
•Cost Tracking: Verify, track, and forecast daily project costs per Estimator's budget, ensure accurate tracking of all active projects
•Reporting: Create and deliver project reports analyzing data from project execution
•Time Management: Verify, track, and approve daily labor hours using company time-entry software
Client Communication & Deliverables
•Quality Assurance: Assist with project deliverables preparation including QAQC per NASSCO PACP/LACP/MACP standards, GraniteNet inspection reports, ARC GIS system input and reporting
•Documentation: Maintain client schedules, asset sheets, site photos, and disposal tickets as required
•Communication Support: Assist Project Manager with client communications and project updates
Financial & Administrative Support
•Billing Support: Prepare project billing as approved by Project Manager, assist with budget tracking and variance analysis
•Expense Management: Review and maintain expense reports, assist Accounting team with periodic financial reviews
•Document Management: Collect, compile, and scan project and operations forms, maintain electronic and hard copy project files per client and municipal requirements
•Administrative Tasks: Front-end billing verification, material ordering (non-CIPP), updating work order schedules, timecards verification, CIPP tracker updates, per diem requests
Team Coordination & Resource Management
•Internal Coordination: Act as liaison for HR, IT, and business management matters, coordinate with project managers and other project leads
•Inventory Management: Maintain equipment and asset inventories, assist with operations and accounting controls
