Purpose:
The Assistant Project Manager plays a critical role in supporting the Field Services Department by managing daily job flow, optimizing project execution, coordinating field technicians, and ensuring a safe, efficient, and customer-focused operation in an industrial services environment.
Key Responsibilities
Project Coordination & Execution:
•Collaborate directly with industrial clients to implement project scope, schedule, and deliverables.
•Assign and oversee field personnel to ensure alignment with job specifications and safety protocols.
•Support project execution across multiple job sites, ensuring timelines, quality standards, and safety procedures are upheld.
•Review project scopes and verify that technical and logistical objectives are feasible and aligned with operational capacity.
•Coordinate with lead project managers to maintain workflow continuity and schedule adherence.
•Assist in procurement of materials, tools, and industrial equipment needed to execute job tasks effectively.
•Track job performance metrics and provide feedback for continuous improvement.
•Maintain communication with field supervisors and subcontractors to ensure site readiness and post-project follow-through.
•Report on job status and escalate critical issues that may risk schedule delays or safety violations.
•Coordinate with Dispatch and Branch Managers to streamline manpower and resource allocation.
•Adhere to and enforce all internal Standard Operating Procedures (SOPs) and job safety protocols.
•Lead weekly operations coordination meetings with technicians and supervisors to ensure readiness and alignment.
•Review and update Estimated Delivery Dates (EDD) twice weekly; monitor job closeout and documentation.
•Oversee same-day job assignments and ensure timely dispatch coordination.
•Develop and maintain Gantt charts for key projects, updating stakeholders on schedule and progress.
•Manage In-Shop projects, including planning, workflow scheduling, and production tracking.
•Maintain and communicate the on-call support schedule with Answer Force; issue internal alerts and confirmations.
Customer & Client Experience
•Ensure delivery of high-quality, responsive service to industrial clients.
•Act as a client liaison to address project concerns with urgency and professionalism.
•Represent client needs internally, focusing on safety, efficiency, and cost-effective solutions.
•Promote long-term partnerships through dependable service and operational transparency.
•Collect client feedback to identify service improvements and process enhancements.
Technician & Field Support
•Support field teams by improving job scheduling and reducing inefficiencies.
•Identify and resolve field-level resource constraints, including labor or equipment shortages.
•Help enforce job safety procedures and ensure field crews are briefed on site-specific requirements.
•Contribute to job readiness and operational excellence by reinforcing procedural consistency.
Administrative & Compliance Accuracy
•Support cross-functional efforts to meet departmental and project objectives.
•Ensure accurate documentation of project execution, labor tracking, and billing processes.
•Assist with technician onboarding, certification tracking, and compliance with training requirements.
•Monitor adherence to safety reporting, equipment inspections, and industry compliance standards.
•Participate in process audits and implement corrective actions as needed.
Applicants must be able to fulfill the physical duties of the job, which include being able to stand or walk for extended periods of time. Applicants must be able to reach with hands and arms. Applicants must also be able to regularly lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and ability to adjust focus.
