Office Administrator/Administrative Assistant
General Job Summary
Slawson Exploration Companies, INC is an exploration and oil-producing company. This position provides administrative support and office administrator functions for Slawson’s New Town Field Office.
Major Job Tasks
•Front desk responsibilities, answer main office phone line, greet and assist visitors.
•Gather vendor invoices for approval and coding by the company’s field representatives.
•Contact vendors to correct discrepancies on invoices.
•Transmit invoices to corporate offices for payment processing.
•Use spreadsheets and databases to efficiently store and present data.
•Communicate with contractors, vendors, and other employees using Microsoft Outlook.
•Ensure packages are delivered via Fed Ex, USPS, and UPS.
•Develop and maintain a filing system.
•Schedule and assist with staff meetings.
•Act as the point of contact for internal and external clients
•Assist in preparation of regularly scheduled reports.
•Sort, organize, scan, and send produced water and oil tickets.
•Monitor and order office supplies.
•Monitor office equipment use and maintenance.
•Other general office duties as assigned.
Knowledge, Skills, and Abilities
Education: Minimum of High School Diploma, G.E.D. or equivalent
Skills/Abilities:
· Proven administrative/office assistant experience
· Accurate spelling, punctuation and grammar
· Good verbal communication skills
· Computer skills including word processing, spreadsheet functions, and database upkeep
· Ability to operate office equipment including fax machine, printer, and phones
· Excellent time management skills and ability to multi-task and prioritize work
· Attention to detail and problem-solving skills
· Strong organizational and planning skills
· Valid driver’s license
Physical Requirements
· Office environment
· Ability to be stationary (sit or stand) 80% or more of the time
· Manual dexterity: a major portion of daily work requires manual skills to operate a PC and other pieces of office equipment
· Constant ability to communicate/exchange information with coworkers, vendors, and others
· Constant ability to see to review work documents
· Ability to occasionally move about in the office to access file cabinets, copiers, etc.
· Occasional bending, kneeling, reaching, climbing, and/or stooping
· Occasional lifting, pushing, or pulling up to 20 pounds
· Ability to occasionally operate a motor vehicle occasionally to conduct company business
