Description
We are seeking a highly organized and motivated Administrative Assistant to join our dynamic team. The ideal candidate will play a pivotal role by providing essential administrative support to our VP of Operations. In this multifaceted position, you will be responsible for managing a variety of tasks that include but are not limited to scheduling, handling correspondence, and building out orders for Production. The successful candidate will thrive in a fast-paced environment, demonstrating exceptional communication skills and the ability to prioritize tasks effectively. You will have the opportunity to work closely with various departments, making your role critical in facilitating collaboration and ensuring that daily operations run smoothly. Strong problem-solving abilities and a proactive approach will be key to your success in this position.
Responsibilities
•Assist with daily administrative tasks to support quote and order processing, ensuring seamless operations and timely project delivery.
•Create work orders in our system, relay order information to the production team, and coordinate between departments to ensure alignment on projects and initiatives.
•Develop and maintain strong customer and supplier/vendor relationships through effective communication and professional assistance.
•Monitor and maintain inventory levels, address operational issues, and provide administrative support, including scheduling meetings and managing calendars.
•Analyze job costs, track expenditures, and collaborate with project teams to gather data and understand project scope and requirements.
Qualifications/Competencies
•1+ years of experience in an administrative role, preferably in an operations or production environment
•Proven ability to manage multiple tasks simultaneously, prioritize deadlines, and maintain accuracy and attention to detail
•Excellent communication and interpersonal skills, with the ability to build strong relationships with customers, suppliers, and colleagues
•Proficient in Microsoft Office, with experience in using email, phone, and other forms of communication to provide professional assistance
