Administrative Assistant – Cybersecurity

Location:

Atlanta, GA;

Purpose:

It plays a critical role in ensuring the smooth execution of daily activities, coordinating sensitive communications, and supporting strategic initiatives across the Power Systems & Gas Cybersecurity team and broader Technology Security organization. The role also collaborates with and supports other administrative assistants within the CISO department.

Education / Experience

Minimum of 3 years of administrative or related experience
High school diploma or equivalent required; college degree preferred
Proven experience in administrative or assistant roles
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Strong organizational and planning skills
Excellent time management and multitasking abilities
Attention to detail and strong problem-solving skills
Excellent written and verbal communication skills
Ability to communicate effectively via phone and email
Demonstrated ability to adapt in a fast-paced, high-security environment
Familiarity with office management systems and procedures


Job Responsibilities

Provide administrative support to managers and team members, including scheduling, communication, and coordination
Manage complex calendars, schedule meetings, and coordinate logistics for internal and external engagements
Prepare and process expense reports, purchase requests, and travel arrangements in compliance with company policies
Enter and adjust time reports on behalf of managers; review and lock team time entries each pay period
Maintain confidentiality and handle sensitive information with discretion, especially in support of security-cleared personnel and projects
Coordinate conference room bookings, visitor access, and logistics for team meetings and executive briefings
Assemble, quality-check, and distribute weekly reports
Serve as a liaison between cybersecurity leadership and internal/external stakeholders
Maintain administrative mailboxes, distribution lists, and documentation repositories
Assist with compliance documentation, training coordination, and audit preparation
Support onboarding and offboarding processes, including I-9 verification, interview scheduling, badge access, equipment ordering, and system provisioning
Organize and schedule appointments and meetings; maintain contact lists
Greet and assist office visitors; respond to inquiries via phone, email, or in person
Research and create presentations, draft letters and emails on behalf of staff
Maintain office supplies and equipment, place and track supply orders
Perform general administrative duties such as filing, typing, copying, binding, and scanning
Book conference calls, rooms, transportation, and accommodations as needed
Maintain both digital and physical filing systems
Produce and distribute memos, letters, and forms
Develop and update administrative systems to improve efficiency
Contribute to team efforts by accomplishing related tasks as needed
Maintain professional and technical knowledge through workshops, publications, and networking
Support ad hoc office and departmental projects as assigned


Additional Information

United States citizenship is required
Must be able to pass background requirements
This position requires infrequent (up to 5%) travel to office locations.
