Opportunity Summary
The Administrative Assistant at the Southampton Power Station, a 51 MW biomass facility in Franklin, VA, plays a key role in supporting fuel management, vendor coordination, and administrative operations. Responsibilities include maintaining wood scale software data, reconciling fuel weigh bills, and assisting with procurement and accounts payable processes. As part of a VPP STAR-certified site recognized for safety and operational excellence, this role helps ensure accurate documentation and smooth plant operations that support reliable power delivery to the local community.
Your scope of responsibility as the Administrative Assistant includes the following primary functions:
•Maintain and monitor the operation of the wood scale software system to ensure accurate data entry and functionality.
•Serve as the primary point of contact for fuel truck drivers and vendors, ensuring smooth and timely communication.
•Process and verify fuel weigh bills, ensuring all documentation is accurate and complete.
•Reconcile weigh bills with both the primary fuel vendor and Owner-procured fuel, identifying and resolving discrepancies.
•Prepare, format, and distribute correspondence and documentation for fuel vendors.
•Assist in procurement support, including recommending material substitutions, expediting orders, and resolving issues related to shipments or invoices.
•Compile and maintain accurate records and reports related to fuel delivery, vendor transactions, and other operational data.
•Support accounts payable processes, including item verification, invoice tracking, and coordination with vendors, the Plant Administrator, and Plant Manager.
•Draft and initiate routine business correspondence and perform general word processing duties, excluding confidential or employee personal information.
•Provide administrative support to the Administrative Supervisor and Plant Manager as needed, including special projects and additional tasks.

Working Relationships
The Administrative Assistant reports to the Administrative Supervisor and may take general direction from plant management. Additionally coordinates with all plant personnel relative to the accounting, Human Resources, and administrative processes.
Physical Requirements and Working Conditions
Work is primarily performed in an office environment. However, as the facility is a power plant, there may be occasions that require standing for extended periods of time, climbing stairs and ladders, and wearing protective equipment (such as hard hats, safety glasses, and hearing protection). On-site conditions may also necessitate work outdoors in varying weather, including both hot and cold temperatures. Please note that smoking restrictions apply in and around the facility.
Fitness for Duty
All personnel will participate in the Fitness for Duty Program, which includes a post-offer physical examination, drug screening, and post-employment random drug screening.
Work Schedule
This position will also occasionally necessitate extended working hours and flexible shifts as needed, including weekends and holidays, in response to schedules, workload demands, and plant conditions. Periodic callouts or “On call” status may also be required.
Some travel may be involved to participate in Manager, Owner, or other offsite meetings.
Compensation
This position offers a base pay rate ranging from $22 to $30 per hour, along with an annual performance bonus.
Job Qualifications
We are seeking a detail-oriented Administrative Assistant with relevant administrative experience and a strong understanding of office operations, including support for fitness for duty programs, workers’ compensation, human resources, general accounting, and payroll functions.
•Ability to understand procedures and instructions related to the assigned area, typically gained through successful completion of high school or equivalent education. An Associate or Bachelor’s degree in business administration, human resources, or a related field is a plus. Relevant industry or military experience may be considered in lieu of education on a year-for-year basis.
•Experience supporting administrative functions in a fast-paced operational environment, preferably within industrial or power generation settings.
•Familiarity with managing vendor communications, processing and verifying invoices, and assisting with accounts payable activities.
•Basic knowledge of procurement processes, including tracking orders, expediting shipments, and resolving vendor discrepancies.
•Proficiency with administrative software systems, including data entry and monitoring tools such as wood scale software or CMMS for recordkeeping and reporting.
•Strong skills in Microsoft Office applications, particularly Excel, with the ability to create, manage, and analyze spreadsheets and reports.
•Strong attention to detail and ability to maintain accurate records related to fuel deliveries, vendor transactions, and operational data.
•Ability to prepare, format, and distribute professional correspondence and documentation with clarity and accuracy.
•Excellent organizational skills to manage multiple tasks, maintain documentation, and support plant administrators and management effectively.
