The Administrative Assistant encompasses key administrative tasks crucial for supporting the Talent Acquisition team. Responsibilities include answering inquiries, managing the TA inbox, assisting with job postings, and providing direct support to walk-in applicants. Responsibilities
•Answer incoming calls and provide accurate information or route inquiries appropriately
•Manage the Talent Acquisition email inbox, ensuring timely responses and organized records
•Assist with posting job openings on various job boards and internal platforms
•Provide support to walk-in applicants, including assisting with application processes and inquiries
•Assist in the documentation of recruitment and onboarding processes to ensure clarity and compliance
•Maintain accurate records and update the applicant tracking system (ATS) as needed
•Organize and manage files and records related to candidate information, job postings, and recruitment activities
•Support the Talent Acquisition Partners in coordinating communication with candidates, and follow-ups, emphasizing professionalism and empathy
•Support the Talent Acquisition Partners by occasionally coordinating communication with candidates, including interview schedules and follow-ups
•Serve as a point of contact for candidates needing additional support or guidance during the application process, building trust and maintaining open communication channels
•Coordinate registration for career fairs and similar recruiting events
•Communicate with external organizations, including unemployment offices and workforce development agencies
•Provide logistical support for recruitment-related events, ensuring seamless execution
•Organize and maintain swag inventory
•Work closely with the Talent Acquisition team to identify areas for process improvement
•Participate in team meetings to provide updates on administrative activities and suggest efficiencies
•Support other ad hoc tasks and projects as assigned by the Talent & Development Manager to meet organizational goals
Qualifications
•High School Diploma or GED preferred, or an equivalent combination of education, training and related experience
•Proficient with MS Office Suite
•Excellent time management skills, has the ability to prioritize tasks
•Ability to effectively communicate with peers, co-workers, clients, customer, and the general public
