We are seeking a reliable and versatile Administrative Assistant to support the daily operations of our recycling business. This role is essential in handling a wide range of administrative, HR, and financial tasks while serving as the welcoming face of our company. The ideal candidate is organized, proactive, and comfortable multitasking in a small-team setting. This is a full-time position with opportunities for growth within our family-oriented company.
- Front Door Reception: Greet visitors, clients, and vendors at the front desk; answer phones, manage inquiries, and direct calls or messages to the appropriate team members.
- New Hire Onboarding: Assist with the recruitment process, prepare onboarding materials, conduct orientation sessions, and ensure new employees complete necessary paperwork and training.
- HR Files and Administration: Maintain confidential employee records, update HR databases, handle filing and document organization, and ensure compliance with basic HR policies and regulations.
- Benefits Administration: Coordinate employee benefits enrollment, track eligibility, liaise with insurance providers, and assist staff with benefits-related questions.
- Bookkeeping Support: Perform basic accounting tasks such as invoicing, accounts payable/receivable, expense tracking, and reconciling bank statements using software like QuickBooks.
- General Office Management: Order and manage office supplies, schedule meetings and appointments, handle mail and shipments, and maintain a clean and organized office space.
- Additional Duties: Support special projects as needed, such as event coordination for community recycling drives, data entry for inventory tracking, and assisting with basic marketing efforts like updating social media or preparing newsletters.
- High school diploma or equivalent required; associate's degree in business administration, HR, or a related field preferred.
- 1-2 years of experience in an administrative, office support, or similar role; experience in a small business or family-owned company is a plus.
- Familiarity with HR processes, basic bookkeeping, and office software (e.g., Microsoft Office Suite, Google Workspace).
- Strong organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
