As an Administrative Assistant, you will assist group members with scheduling, coordination, document preparation, and customer service activities.
Some of the work that you will do:
- Distribute daily and weekly reports and schedules to group members
- Help prepare and format proposals and budgets
- Update records in CRM (Customer Relationship Management) software
- Answer phones and direct customers to the appropriate point of contact
- Coordinate work and tasks with other departments
- Support Sales and Contract Admin personnel with clerical and correspondence activities, as needed
- Organize group functions and activities
- Organize and coordinate sales events such as tradeshows, sales rep trainings, customer events, etc.
- Coordinate and schedule travel for sales personnel
- Serve as a backup for order creation and budget entry
- Serve as the Contract Lifecycle Management (CLM) Assistant and as an assistant to the contract administration team
- Build/maintain clause library within the LinkSquares tool; coordinating with relevant stakeholders
- Facilitate proper contract storage and adherence to defined contract procedures
- Design and maintain workflows for contract templates or 3rd party contracts
- Reviewing and correcting contract requests for completeness and accuracy
- Correct and prompt processing of Non-Disclosure Agreements (NDA’s)
- Coordinate and/or conduct end-user training

- High School Diploma/GED or equivalent education
- One or more years of relevant work experience
- Good verbal and written communication skills
- Ability to manage multiple, competing deadlines in an efficient and effective manner
Here are the skills that will set you apart:
- Relevant post-high school training, certification, coursework, or 2 year associates
- Experience coordinating and/or managing projects
- Knowledge of or experience with Sharepoint and/or Navision
- Knowledge of or experience with CRM and CLM software tools
- Strong customer service orientation
- Knowledge or experience with Microsoft Word and Excel
- Ability to listen and integrate what is said into final product
- Knowledge of or experience with engineering firms or concepts
