We are seeking a highly organized and proactive Assistant to support the Executive Vice-President, Operations. This
pivotal role ensures the smooth and efficient functioning of the EVP’s office through high-level administrative support,
strategic coordination, and effective communication.
The successful candidate will:
- Provide comprehensive administrative support to the EVP, including calendar management, meeting coordination, and
- Act as a liaison between the EVP and internal/external stakeholders, ensuring timely and accurate communication.
- Manage the day-to-day operations of the EVP’s office, anticipating needs and proactively resolving issues.
- Prepare briefing materials, reports, and presentations to support executive decision-making.
- Maintain confidentiality and handle sensitive information with discretion.
- Manage a high volume of calendar requests, e-mail, and written correspondence from internal groups, customers, and
other external groups on behalf of the EVP, ensuring that all items are prioritized and addressed in a timely manner.
- Inform the EVP of deadlines/action items and may be required to draft replies to action items/correspondence. Maintain a
"Bring Forward" system to ensure all deadlines are met.
- Effectively leverage contacts across Operations and BC Hydro to re-direct enquiries and/or gather information as
appropriate, ensuring responses are completed in a timely manner.
- Maintain the EVP’s files and provide backup materials prior to all meetings including the retrieval of materials and the
- Administer financial functions on behalf of the EVP, including invoices, expense claims, purchase orders, purchasing of
stationery and/or office equipment, Travel Cost, Budget Variance Reports.
- Maintain effective record keeping systems.
- Schedule, coordinate, prepare agendas, arrange for outside speakers and guests for meetings.
- Coordinate the flow of information and materials between the EVP and their direct reports. Work with direct reports to
coordinate meetings / discussions as well as the flow of documents for approval.
- Coordinate submissions to the meetings for the Board of Directors and the Executive Team.
- Assist with communication initiatives.
- Coach and lead other administrative staff within Operations, providing information and guidance on office procedures.
- Post-secondary education plus a minimum of five years of senior level administrative experience within a corporate
environment performing a range of diverse duties involving material of a highly confidential and sensitive nature.
- We may consider those with an equivalent combination of education, training and experience.
- Ability to communicate effectively and in a highly professional manner with an extensive network of individuals: senior
level government officials, senior executives, senior level business leaders and employees at all levels.
- High level of interpersonal and communications skills, both verbal and written, including tact and diplomacy.
- Excellent knowledge and experience with Microsoft Outlook (including email and calendar) and Microsoft Office (Word,

- The successful candidate will work from the Edmonds headquarters (Burnaby) and may be required to work at the
- Please note this role is classified as a Hybrid role under BC Hydro’s flexible work model, which currently includes a mix of
working from home and working in the office. At present, this role is expected to work in the office a minimum of two days
per week however at times it could be more frequent due to operational requirements and does require flexibility. This
Hybrid model may change over time.
