We are seeking a detail-oriented and proactive Administrative Assistant
to support our accounting, HR, and general office functions. This role will focus heavily on
accounts payable (AP), accounts receivable (AR) entry and reconciliation,
and payroll,while also handling HR administrative tasks and day-to-day office operations. The ideal candidate is organized, dependable, and proficient in Microsoft Office and Adobe software.
- Enter vendor invoices, customer payments, and related financial data into accounting systems.
- Reconcile AP and AR accounts, ensuring accuracy and timeliness.
- Communicate with vendors and customers regarding billing inquiries or payment discrepancies.
- Assist with month-end closing processes as needed.
- Maintain and update employee records and files.
- Assist with onboarding documentation and compliance forms.
- Support benefits administration and tracking.
- Coordinate HR-related communications and reminders.
- Order and maintain office and breakroom supplies.
- Manage incoming and outgoing mail, deliveries, and general correspondence.
- Maintain organized filing systems (digital and physical).
- Provide general administrative support to management and other departments.
- Previous experience in administrative support, with emphasis on AP and AR functions.
- Strong organizational skills and attention to detail.
- Proficiency in
Microsoft Office Suite (Word, Excel, Outlook)
and
Adobe Acrobat/Reader
.
- Excellent verbal and written communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Strong time management skills with the ability to prioritize tasks effectively.
- Experience with accounting or ERP software.
- Knowledge of basic HR processes and employment recordkeeping.
- Knowledge of ACH payment processing is a plus.
