Job Description:
Position Overview: We are seeking a dedicated Administration Support Specialist to join our administrative team. This role is designed to provide essential support to our Recruitment, Payroll, and Accounting Departments. The ideal candidate will possess strong organizational skills, a collaborative spirit, and a willingness to assist dedicated Administration professionals in their daily tasks.
Key Responsibilities
Recruitment Support:
•Assist in the recruitment process by scheduling interviews, coordinating candidate communications, and maintaining applicant tracking systems.
•Prepare and post job advertisements on various platforms.
•Help organize and participate in job fairs and recruitment events.
•Provide administrative support in the onboarding process for new hires.
Payroll Assistance:
•Support the payroll team in collecting and verifying employee time and attendance records.
•Assist in the preparation of payroll reports and documentation.
•Help resolve payroll-related inquiries from employees in a timely manner.
Accounting Support:
•Provide assistance to the accounting team with financial documentation and reporting.
•Assisting in processing Accounts Receivable/Payable on a daily basis or when necessary.
•Assist in the preparation of monthly reports for departments outside of the Administration offices.
General HR Support:
•Maintain and update employee records and HR databases.
•Assist in the development and implementation of HR policies and procedures.
•Provide general administrative support to the HR department as needed, including filing, data entry, and document preparation.
Qualifications:
•Previous experience in an administrative support role in an office environment pertaining to Accounting, Payroll and Recruitment
•Strong organizational and multitasking skills with attention to detail.
•Excellent communication and interpersonal skills.
•Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and HR software systems.
•Proficiency in QuickBooks Online
•Ability to handle sensitive information with confidentiality and professionalism.
